GST/HST, PST and QST in one system

Sales tax in Canada is layered. GST or HST applies at the federal level and is reported to the Canada Revenue Agency, while some provinces add their own sales tax, such as PST in certain provinces and QST in Quebec, which has its own administration. Which taxes apply depends on what you sell, where your customer is and how your business is registered.

That is hard to manage when invoices are created in one tool, purchases are tracked in another and adjustments live in spreadsheets. An ERP that applies the right tax codes to every sale and purchase, based on the ship-to province and the item, gives your accountant clean data to work with at filing time.

In my ERP consulting work, I set up tax codes, tax groups and account mappings with your accountant's input, and I test common scenarios such as interprovincial sales, exempt items and input tax credits before go-live. Cross-border trade, CAD/USD and moving off QuickBooks or Sage

Many Canadian businesses buy from or sell to the United States every day. That means USD price lists, USD bank accounts, suppliers invoicing in different currencies and the need to see margins clearly in CAD. I configure CAD as the base currency, set up exchange rate handling and make sure realized and unrealized gains and losses are recorded properly. For businesses with a US entity, I set up separate companies with intercompany flows and consolidated reporting.

A common starting point is QuickBooks or Sage plus a growing set of spreadsheets for inventory, job costing or approvals. Those tools are often fine for bookkeeping, but they struggle once you need inventory across locations, manufacturing, project costing or detailed approval workflows. Moving off them is less about the software and more about cleaning data and agreeing on new processes.

Platforms that fit Canadian businesses

For Canadian companies, I test each shortlisted platform against a few local essentials: GST/HST combined with provincial taxes, CAD and USD running side by side, French-language documents and user interfaces for teams in Quebec, and support available during Canadian business hours.

Once the platform is chosen, the work shifts to the systems around it. Canadian businesses typically pay suppliers by EFT and collect through direct debit agreements with customers, card processors or online payments. Payroll usually runs in a dedicated product that produces T4 slips and Records of Employment. Sales come through Shopify, Amazon or B2B portals, and distributors supplying large US retailers may also need EDI.

I define each connection during design: source system, fields, frequency, error alerts and who reconciles. Payroll journals are mapped by province, department and job so labor costs and remittances land correctly, and bank payment files are tested with your bank before cutover.
