What does a Zoho Books setup need to handle in Kenya?
A Kenyan Zoho Books setup has to send invoices and credit notes to KRA through eTIMS, by a built-in route or a vetted connector, with clear handling of failed transmissions. It must match M-Pesa paybill and till receipts to customers, track withholding certificates from customers, keep bank accounts reconciled and treat dollar sales and purchases against shilling books as your accountant directs. I design and test this independently.

Kenyan finance teams on Zoho Books tend to run into the same few problems. Invoices fail to reach eTIMS and nobody notices until a customer complains. M-Pesa receipts pile up in a suspense account because references do not match. And withholding certificates from customers are never reconciled, so amounts that could be claimed sit forgotten.
I work remotely with Kenyan companies and their accountants to fix those problems in the design rather than with more spreadsheets. Each one has a clear owner, a routine and a report once the setup is right.
Your tax advisor interprets KRA rules; I make Zoho Books apply them consistently.
Each item is designed with your accountant and tested on real documents before the team relies on it.
Whether your Zoho Books edition offers a direct eTIMS integration for Kenya or needs a third-party connector, what each transmits, how item and customer data must be prepared, and who supports it.
A daily list of invoices and credit notes that did not reach eTIMS, with a named owner, a fix routine and a rule that unconfirmed invoices are not sent to customers as final.
Account number conventions for paybill payments, statement imports for paybill and till accounts, matching rules by customer reference and a clearing account for M-Pesa settlement to the bank.
Withholding VAT and income tax deducted by customers recorded as receivables from KRA, with certificate status tracked and a monthly list of customers whose certificates are still missing.
Feeds where Zoho supports your bank, regular statement imports where it does not, and rules for bank charges, card settlements and standing orders, so reconciliation never falls behind month-end.
Sales and purchases in USD against KES books, receipts into dollar accounts, conversions to shillings and revaluation, set up with the rate source and timing your accountant chooses.

KRA's eTIMS requires tax invoices to be transmitted electronically, and the invoice your customer receives should carry the details that show it was validated. For Zoho Books users, the first question is the route: Zoho may offer a direct integration for Kenyan organizations, or you may need a third-party connector that sits between Zoho Books and KRA. Which applies depends on your edition and on current offerings, so I confirm it in writing at the start.
Then come the practical design points:
Your tax advisor confirms which documents and transactions eTIMS covers for you. For what the product does generally, see Zoho Books.
M-Pesa receipts are easy for customers and hard for finance. A customer pays to your paybill with whatever account reference they remember, or to a till with no reference at all, sometimes in several parts. Without a design, these payments land in a suspense account and someone spends days each month working out who paid what.
What I put in place in Zoho Books:
A suspense balance that shrinks every month is the sign the design works. For related process design, see finance automation.
Some Kenyan customers, particularly government bodies and larger companies appointed as withholding agents, deduct withholding VAT or withholding income tax from what they pay you and issue a certificate through KRA's systems. The amount withheld is not lost; it can typically be credited against your own obligations, provided it is recorded and supported. Your tax advisor confirms how each type applies to you.
The common failure in Zoho Books is recording the short payment as an open balance or writing it off. I design instead:
If your company also withholds from its own suppliers, I set up the matching liability accounts and supplier reports. My requirements gathering work captures each scenario before configuration starts.
Many Kenyan businesses hold shilling and dollar bank accounts, sell some contracts or exports in USD and pay foreign suppliers in dollars. Zoho Books handles multiple currencies against a KES base, but the setup needs deliberate rules.
If you are moving from QuickBooks, Sage or spreadsheets, open balances and documents are carried across at a clean cutover. See data migration for the method, and multi-currency ERP for the wider design.
Zoho Books suits many Kenyan service companies, traders and growing distributors. These signs suggest a broader system:
For the wider Zoho decision, including regional structure, see my Zoho consultant Kenya page. Other platforms are compared on my Kenya ERP consultant page, and the Kenya hub gives market context.
Work is remote. Kenyan office hours overlap closely with mine, so finance reviews and month-end walk-throughs are held live, and short recordings help staff who join later. Your accountant remains responsible for filings with KRA, and I bring them into design decisions from the first workshop so the setup reflects how they prepare returns and review the ledger.
Tell me about your business and current systems. I’ll suggest the most sensible first step.

It depends on your edition and on current offerings. Zoho may provide a direct integration for Kenyan organizations, or you may need a third-party connector. I confirm the route in writing, test invoices and credit notes end to end and set up a daily list of anything not yet confirmed by KRA.
By designing references and routines. Customers use their customer or invoice number as the paybill account reference, statements are imported regularly, matching rules apply receipts automatically and unmatched items are listed daily for follow-up. Charges and transfers to the bank are recorded separately.
In a dedicated account when the payment arrives, so the invoice closes in full, with the certificate tracked against it. A monthly report shows customers whose certificates are missing. Your tax advisor confirms the treatment and how amounts are claimed.
Yes. Dollar bank accounts, invoices and bills can all sit in Zoho Books against a shilling base. I set up how dollar receipts, conversions and month-end revaluation are recorded, using the rate source your accountant chooses, and test them with a real month.
Every business is different. Share where you are today and what you want to fix, and I’ll tell you honestly whether and how I can help.
