Machine shops that quote and make one job at a time

Dammam's machine shops repair pump shafts, make replacement bushings, rebuild valves and turn small batches of parts to drawings sent by plant maintenance teams. Almost every job is different, many are urgent, and the price is set on an estimate of machine hours, labor and material before the work starts. Whether that estimate was right is often unclear, because time on the lathe or milling machine is not recorded per job.

ERPNext has the building blocks for this: items and bills of materials where needed, operations linked to workstations with hourly rates, work orders and job cards that record time per operation. For a true job shop, the design needs simplifying. Creating a full bill of materials for a one-off repair is wasted effort, so I look at lighter patterns such as a template work order per job type, with material issued directly against it.

The goal is a clear comparison of estimated against actual cost for every job, available to whoever prices the next quote. Sending work out to galvanizers, coaters and heat treaters

Fabricators and machine shops in the Eastern Province rarely do every process themselves. Steel goes out for hot-dip galvanizing, parts go to a coating shop or a heat treatment furnace, and items return days later to be finished, inspected and delivered. While they are out, they still belong to you, and so does the cost.

ERPNext includes subcontracting documents that send raw material or part-finished items to a supplier, receive the processed items back, and add the supplier's charge to the cost of the product. The design work lies in fitting this to how your subcontractors operate:

  • Do they charge by weight, by piece or by batch?
  • Is there loss or rejection at the subcontractor, and who absorbs it?
  • Do you need to track which job each returned item belongs to?
  • Who arranges transport, and is it charged separately?

I run one or two of your real subcontracted orders through ERPNext in a test site with you, so the gaps appear before go-live. Where costs arrive late, such as a coater's invoice after the job is closed, I define how they are accrued. The job costing page explains the wider costing approach.

Training centers serving the energy and construction workforce

The Dammam and Khobar area has a cluster of training providers that run safety, technical and equipment operation courses for workers employed by contractors and service companies. Their administration is a mix of education and business: course catalogs, scheduled sessions, instructors, trainee registration, attendance, assessment results and certificates, plus invoicing to the employers who sponsor many trainees.

Frappe offers an Education app that runs alongside ERPNext and covers programs, courses, student groups, attendance and assessment. Whether it fits depends on your model. A center running short, repeated courses for corporate groups may find a lighter setup with custom doctypes simpler than a full academic structure. I compare both against a real course cycle before recommending either.

Points that need attention include how certificates are numbered and verified, how expiry and refresher training are tracked for each trainee, and how instructor time is costed per session. Any approval or recognition rules for the courses come from the relevant authorities and your own compliance staff; the system records what they define. Customer-facing documents in Arabic are prepared or checked by your bilingual team.

Billing employers and recording trainees separately

In corporate training, the customer and the person trained are different. A contractor books a batch of its workers onto a course, pays for the whole group, and later asks for attendance and results for each person. Some workers do not attend, some fail and need a retake, and some arrive from a different employer than the one that booked.

In ERPNext, I design this so the employer is the customer on the sales order and invoice, while each trainee keeps an individual record linked to that employer. Rules are agreed for no-shows, substitutions and retakes, including whether they are billed. Reports then serve both sides: the training center sees revenue and margin per course and per corporate client, and the employer receives a clear record of which of its people completed which course.

This is also where the training records connect to wider business systems. Some employers want completion data in a format they can load into their own HR or contractor-management tools. Tablets on the floor and limits on custom work

In a workshop, ERPNext only works if machinists and technicians actually record their time. Many will not log in to a full desktop system between operations. I plan a shared tablet at each work area showing only the job cards assigned there, with simple start, pause and complete actions, and roles that hide everything else. That keeps data entry close to the work and makes job costing believable.

The other discipline is custom development. ERPNext is open source and easy to extend, which tempts small firms to customize until upgrades become painful. I keep a written register of every customization with its business reason and owner, and challenge anything that duplicates a standard feature. That protects you if a developer or implementer changes.
