How should a German service company set up Odoo Projects?
A German engineering office, IT service provider or installer should set up Odoo Projects so each contract type bills correctly: fixed fee, milestones, hourly work and down payment invoices with a final invoice. Timesheets must suit working time and works council expectations, and invoices pass to Odoo Accounting in the structured format customers require. Edition and version are confirmed with Odoo or the partner. I design this remotely and independently.

German project businesses bill in several ways at once. An engineering office may invoice fixed phases, an IT provider bills hours monthly, and a machine builder's installation team issues down payment invoices before a final settlement. When each contract type lives in a different spreadsheet, the final invoice becomes a reconstruction exercise.

In Odoo, billing behavior is set on the service product sold in a sales order. A line can be invoiced on ordered quantity, on delivered quantity updated by timesheets, or on milestones that a project manager marks as reached. A single order may combine several lines with different rules, which suits German contracts that mix a fixed design phase with hourly support afterwards.
The contract types I map most carefully:

German project contracts, particularly in installation, construction-related work and special machinery, often require down payment invoices during the project and a final invoice that settles everything. Odoo's Sales app supports down payments as a fixed amount or proportion of the order, and the final invoice deducts them.
What I check with finance:
Construction-type contracts under specific German standard terms bring their own billing conventions. Odoo can support progress-based invoicing, but measured quantity statements and detailed progress claims may need an add-on or a specialist construction system. I flag that early rather than letting it surface at the first claim.
Public-sector customers expect structured e-invoices such as XRechnung with a buyer reference, and business customers increasingly receive formats like ZUGFeRD. Format support comes from the localization and accounting setup described on Odoo Accounting Germany; confirm with Odoo or the partner what your version generates.
Timesheets in Odoo serve billing and project control. In Germany they also touch working time recording expectations and, where a works council exists, the question of how employee data is used. I do not advise on labor law. Your HR lead and legal advisor decide what must be recorded; I design Odoo to follow that decision.
Design choices that matter:
I write a short data description for each app: what it records, who sees it and which reports aggregate it. Management uses that to brief the works council or employee representatives before rollout.
Completion is the practical risk. Timesheets that are hard to fill in arrive late and incomplete, and invoices slip. Mobile entry, timers and weekly reminders help; I test them with a few users from different teams before the wider launch.
Many German Mittelstand firms run a service business beside production: installation, commissioning, inspection and repair at customer sites. Odoo's Field Service app, historically an Enterprise feature, creates service tasks with worksheets, materials used, time spent and a customer signature, then passes the result to invoicing.
What I design for a service team:
Maintenance agreements bring recurring revenue. Odoo's subscription features, also historically Enterprise, can invoice them on a schedule, while planned visits are generated as service tasks. Renewal terms and price adjustments are set by your sales team and legal advisor.
Service planning across many technicians may need the Planning app as well. I confirm each app and its edition with Odoo or the partner before including it. The general method for service operations is on ERP for field service.
Every Odoo project carries an analytic account, collecting timesheet costs, purchases, expenses and invoiced revenue. That gives a margin view per project without a separate controlling spreadsheet, provided cost rates and purchase allocations are maintained.

Odoo Projects is not the right tool for every German project business. Large engineering projects with earned value, resource levelling and complex dependencies often need a dedicated project management tool connected to the ERP. Construction contractors with detailed quantity claims may need a construction system. Simple agencies may find Zoho Projects in Germany lighter.
