How should an Italian company set up Zoho Desk?
For an Italian company, Zoho Desk works best when it is designed around after-sales reality: machines and products installed at home and abroad, warranty claims tied to serial numbers, spare parts requests, customers writing in several languages and formal messages arriving by PEC. I design departments, SLAs, calendars and the links to CRM and invoicing, remotely and independently of Zoho.

When something goes wrong, the customer writes to a technician they met once, a sales agent forwards a photo, and the request disappears into personal inboxes. Requests arrive by email in several languages, by phone at odd hours, through distributors and sometimes through a technician's mobile. A structured desk starts by recognizing that the unit, not just the customer, is the center of after-sales.

Language is handled as a routing and content question. Tickets carry a language field, set from the contact record or detected from the message, and route to agents or distributors who handle that language. Templates and help articles are drafted in English and adapted by native speakers on your team or at partner companies abroad. The engagement runs in English, with remote sessions in the Italian morning.
Support tickets collect personal data quickly: names, phone numbers, photos of installations that show people or premises, sometimes complaints that mention health or safety. GDPR applies to all of it. With your privacy lead I agree retention periods for tickets and attachments, who may see which department, how call recordings are stored and how access or erasure requests are handled. I also confirm with Zoho which data center hosts your account, and record that in your processing records.
Desk becomes more useful when connected:
I would not lead with Zoho Desk if technician scheduling is the main need, if a large contact center requires workforce management, or if your ERP already has a service module the team uses well. In those cases I say so in writing. The Italy hub and Zoho in Italy describe the wider work.

Yes, with some design. Zoho Desk can link tickets to product records, and a serial-number based installed base can be set up so every ticket shows the unit, its warranty status and its history. Where you need richer asset data, such as configurations or maintenance plans, a related module or a small Creator app can hold it.
That needs confirming with Zoho for your setup, so I do not promise it. Until it is confirmed, I treat PEC as a separate mailbox managed by administration, with a clear rule for logging relevant messages on the customer's ticket. Your advisor tells you which formal communications must be kept in their original PEC form.
Often, yes. Depending on your plan, partners can work as agents in their own department or log requests through a help center with restricted access. I limit what each distributor sees to its own customers, agree response targets with them and make sure warranty decisions still pass through your Italian team.
Not Zoho Desk. Desk manages the claim, the evidence and the decision, then creates a task for administration. The credit note is issued by Zoho Books or your gestionale, whichever system your commercialista has approved for electronic invoices, and its reference is recorded back on the ticket so the trail is complete.
