How should a Kenyan service company set up Odoo Projects?
A Kenyan solar or water installer, ICT integrator or engineering contractor should set up Odoo Projects so each contract has a billing basis such as a fixed price, milestones or hours and materials, technicians log upcountry site work in field service, maintenance plans bill on schedule and every invoice reaches eTIMS through the route your version supports. Withholding by clients is handled in accounting. I design this remotely and independently.

Kenyan project businesses often deliver far from head office: solar systems for schools and clinics, boreholes and pumps for farms and communities, network installations for county offices and banks, and mechanical or electrical works for factories. Billing follows milestones, approved hours or monthly service fees.
Odoo's project, timesheet, field service and subscription apps can follow that work from signed order to invoice, provided the eTIMS route and the billing rules are settled first.
Sessions run remotely with your project, operations and finance leads, and I stay independent of any Odoo seller.
The design connects what happens on a remote site to the invoice, the payment and the margin report.
Fixed price, milestone, time and materials and recurring service contracts set up as service products, each with a clear trigger for invoicing that sales and finance both accept.
Deposits invoiced on order and recovered across later milestones such as equipment delivery, installation and commissioning, tested so client statements stay clear.
Site visits scheduled to technicians with travel and accommodation costs captured, and work reports and photos recorded on the phone where your edition and signal allow.
Panels, inverters, pumps and network equipment recorded by serial on delivery to each site, so warranty claims and later service visits start from accurate data.
Maintenance and support agreements billed on schedule through subscriptions or recurring orders, with planned visits and renewal reminders for each client.
Project margin combining labor, materials, subcontractors and travel against revenue, alongside collected cash from M-Pesa and bank receipts matched in accounting.

In Odoo, the invoicing behavior comes from how each service product is configured. Milestone products create milestones on the project; timesheet-based products turn approved hours into invoice lines; fixed-fee products bill an agreed amount. Once contract types are defined, the setup is straightforward.
Patterns I map with Kenyan teams:
Donor-funded and grant work, where time must be split across funding sources, is a different profile; my Zoho Projects Kenya page covers it. Pay-as-you-go solar businesses that collect small payments from many households usually rely on specialist platforms, with Odoo, if used, covering stock and finance. For a general tour of the product, see the Odoo Projects page.
For a Kenyan installer, a job may mean a long drive, a night away and limited signal on site. Field Service, which recent versions place in Enterprise, assigns visits to technicians, shows them on a schedule and lets technicians record time, parts used and a customer signature on their phones.
Design decisions I work through:
Equipment serials recorded on delivery make later service and warranty claims far easier. Stock and serial design is covered on my Odoo Inventory Kenya page, and adjacent patterns on field service.
Hourly billing and accurate margins depend on complete, approved timesheets. Odoo records time against tasks from the browser or mobile app; in recent versions, manager approval of timesheets has been an Enterprise feature, so Community deployments need another control.
Rules I agree with project leads:
Finance sets the hourly cost rates used for margin. Kenya's Data Protection Act is another reason to restrict who sees timesheets and cost figures; your HR lead and legal advisor decide which roles qualify. Payroll itself, including statutory deductions, usually runs in a local payroll system rather than in Odoo.
Every project invoice is posted in Odoo Accounting and must pass through eTIMS. Which route applies depends on version and edition; options range from localization features in newer releases to third-party modules and middleware. Once the route is known, I test it on milestone, timesheet and recurring invoices, credit notes included. Your tax advisor confirms invoice content and treatment.
Points I check on the project side:
Smaller clients may pay milestones by M-Pesa. Receipts matched to invoices in accounting let project leads see what is paid before scheduling the next phase. How receipts enter Odoo is discussed on my Odoo consultant Kenya page.
Odoo Projects is a sound base once the eTIMS route is proven and you want delivery and finance on one record. Look elsewhere, or budget for add-ons, if:
I am an independent consultant, not an Odoo partner, and take no commissions. For system selection, start with the Kenya ERP consultant page; to see how bids and quotes feed projects, read Odoo CRM Kenya. The Kenya hub gives wider market background. Delivery is remote, and the engagement is conducted in English.

Yes. A milestone-based service product creates milestones on the project, such as delivery, installation and commissioning, which the project lead marks reached and finance invoices. Deposits can be recovered across later invoices. I design and test this on your real contracts.
Yes. Once posted in Odoo Accounting, they follow the same eTIMS path as any other invoice in your database. That path differs by version and edition, so it is verified with Odoo or your partner first, then each project billing type is tested on real data.
Field Service is web-based, so technicians need connectivity to sync. I test how the app behaves on weak connections at your typical sites and agree how reports are completed when technicians return to coverage. Field Service has been an Enterprise app in recent versions.
For simple project tracking it can work, but donor and grant accounting with time split across funding sources needs more than standard project tools. I assess your reporting needs and may suggest another platform or a dedicated fund accounting approach.
Every business is different. Share where you are today and what you want to fix, and I’ll tell you honestly whether and how I can help.
