How is Odoo Projects set up for a Lebanese service or installation business?

For a Lebanese solar or HVAC installer, engineering consultancy or services exporter, Odoo Projects is set up so down payments, milestones and approved hours turn into invoices in the agreed currency, installations consume stock against the right job, maintenance contracts renew on schedule and margins show per project. My remote, independent role is to design and test that flow, with VAT treatment confirmed by your accountant.

Lebanese project businesses range from teams installing solar systems, batteries and air conditioning on rooftops, to engineering and design consultancies working for clients in the Gulf and Africa, to software and creative studios selling hours abroad. They share one weakness: work is delivered, but the invoice depends on someone remembering what was agreed. Odoo links the quote, the project, the hours or parts used and the invoice.

My part is remote and independent. Odoo does not pay me, I hold no partner status and I resell no subscriptions. I design billing rules and project templates with your operations and finance leads, review what the implementer builds, and test whole jobs from quote to payment. Since the engagement runs in English, any Arabic or French invoice wording is approved by native speakers on your staff.

Solar, battery and cooling installers: projects that use stock

Installation firms in Lebanon sell a mix of equipment and labor: panels, inverters, batteries, mounting and cable, plus the team that fits them. In Odoo, a quotation can carry both. When confirmed, service lines create a project or task, and product lines create a delivery from the warehouse. The installer sees what was promised; the storekeeper sees what to prepare.

The questions I settle with the operations lead:

  • Standard kits. Whether common system sizes are sold as kits with a fixed component list, or quoted item by item.
  • Site changes. How extra cable, a different mounting or an additional battery approved on the roof is recorded and billed.
  • Returns. How unused material comes back to stock against the right job.
  • Serial numbers. Recording inverter and battery serials on delivery, so warranty claims later identify the exact unit.

Payment practice matters too. Many installation jobs start with a down payment. Odoo lets a sales order issue a down payment invoice and deduct it from the final invoice, and I test both full and partial cases with your accountant so balances clear correctly. Cash collected on site needs a clear rule for who records it and in which journal.

Maintenance contracts, visits and recurring invoices

After installation, many firms sell maintenance: periodic cleaning of panels, battery checks, generator servicing, air conditioning maintenance. These contracts are where revenue repeats, and also where visits get forgotten or invoices go out late.

Odoo covers this from two angles, both of which I confirm against your edition with Odoo or the implementer:

  • Subscriptions. The Subscriptions app, part of Enterprise, generates recurring invoices for a plan at the interval agreed with the client, and tracks renewals and cancellations.
  • Field Service. Also an Enterprise app, it schedules visits as tasks for technicians, who record work done, parts used and a customer signature from a phone.

Without Enterprise, a simpler route still works: a project per contract, recurring tasks for visits and invoices raised from a scheduled routine. It needs more discipline from the team, and I document exactly who does what each month.

Technicians in the field may face weak signal on rooftops or in basements. I agree which steps they can complete later in the day and which must be done on site, such as a client signature. Spare parts used on visits are deducted from a van location so stock stays right. Engineering and design consultancies billing clients abroad

Lebanese engineering, architecture and design practices often deliver for clients outside Lebanon, with fees agreed in dollars or another foreign currency. Their contracts tend to mix models: a fixed fee per design stage, hourly rates for site supervision or variations, and reimbursable expenses. Odoo handles each through the invoicing policy on the service product, so one sales order can contain milestone lines, time and materials lines and expense re-invoicing.

For milestone billing, I define what triggers each milestone, who marks it reached and what evidence is attached, such as a drawing issue or a client approval email. For hourly work, the invoice draws on approved timesheets, so the approval step must be clear. Expenses such as travel or printing can be re-invoiced at cost or with a margin, following the contract.

Staff for these firms may sit in Beirut, in another city or abroad. Timesheet discipline is the weakest link, so I write a short policy:

  • Time logged against tasks, not just projects, so variations are visible.
  • A weekly deadline and a named approver per project.
  • Non-billable categories kept few and clearly named.

Handing project invoices to Odoo Accounting

Every project invoice ends in the ledger, and that is where Lebanese specifics apply. Services to local clients and to clients abroad may be treated differently for VAT, and down payments, retainers and reimbursed expenses each raise their own questions. Your accountant decides the treatment; the implementer configures taxes and fiscal positions to follow it, and I test each scenario on real project types.

Points I check before go-live:

  • That a client marked as abroad receives the fiscal position your accountant specified, and the tax report shows it correctly.
  • That down payment invoices and their deduction post to the accounts finance expects.
  • That invoices in a foreign currency reconcile against payments at a different rate, using the rules set for Odoo Accounting in Lebanon.
  • That project analytic accounts flow onto invoice and bill lines, so margin reports match the books.

Localization deserves a direct check. Whether a Lebanese fiscal package exists for the version you plan to run, and what it includes, should be confirmed with Odoo or the implementer; where it is missing, taxes and invoice layouts are built by hand. Invoice and statement layouts may need Arabic, French or English depending on the client, and native speakers on your staff approve the text. Editions, hosting and when Odoo Projects is not enough

The Project app and basic timesheets are available in Odoo Community, as is invoicing from sales orders. Several features that service firms value, including Field Service, Subscriptions, Planning for staff scheduling, timesheet validation and some profitability views, have sat in Enterprise. I produce a list of what your process needs, marked by edition, and have Odoo or the implementer confirm it for your version before you sign anything. Whichever edition you pick, my fee stays the same, since no vendor pays me.

Hosting affects technicians and remote staff directly. Odoo Online and Odoo.sh are reachable anywhere with a connection, which suits teams spread across Lebanon and abroad. A self-hosted server can work, but it must stay reachable from outside when power or links fail at the office, which means backup power, a second connection and someone who looks after it.

Odoo Projects may fall short when:

  • A contractor needs bills of quantities, progress certification, variations and retention managed in detail, where construction-focused tools or heavy customization would be needed.
  • A large consultancy needs resource forecasting across many offices, which professional services platforms handle in more depth.
  • The team will not keep timesheets, in which case no system fixes the billing.
