How can a CRM consultant help a company in Portugal?
In Portugal, a CRM consultant designs the system around the real sales motion, whether route-based order taking, unit-by-unit property sales or scale-up pipelines for customers abroad, and agrees with your accountant which customer documents may come from the CRM and which must come from the invoicing program. Platforms are compared afterward. I work remotely and independently, with Portuguese texts checked by your team.

Portuguese companies sell in very different ways. A wholesaler sends reps on fixed routes to cafés, pharmacies and shops to take orders. A property developer sells apartments one unit at a time to local and foreign buyers, through reservation and promissory contract. A technology scale-up in Lisbon or Porto runs inbound and outbound pipelines for customers abroad. Each needs its own CRM design, and a template built for one fails the others.
As a CRM consultant working remotely with companies in Portugal, I map the sales motion first, then set out deal stages, customer records, how inquiries are assigned and where the CRM hands over to the invoicing program or ERP. The platform question comes afterward, and the candidates range from the module in your current ERP to Salesforce, Dynamics 365, Odoo CRM, HubSpot or Zoho CRM.
No vendor pays me for a recommendation. The engagement runs in English; Portuguese templates and user guides are drafted and proofread by your staff or a local partner.
The design follows how each team actually sells, then the platform is chosen to support it.
Visit plans, order capture on a tablet or phone, offline use in areas with weak coverage and a daily sync with the office, built for reps who see many small customers each week.
A pipeline per development where each unit moves from available to reserved, promissory contract and deed, with buyer documents tracked and the involvement of introducing agencies recorded.
Separate inbound and outbound pipelines, lead scoring agreed between marketing and sales, and handoff rules from first meeting to signed contract for teams selling abroad.
Scripted demonstrations comparing the CRM module of a Portuguese ERP with standalone platforms, scored by your sales and finance staff on your own scenarios and cost drivers.
A list of every document sales sends to customers, reviewed with your accountant to decide which may come from the CRM and which must come from the invoicing program.
NIF validation, consent records your data protection officer approves, clean migration from spreadsheets and old tools, training by role and usage reviews once the CRM is live.

Portuguese distributors of food, drinks, pharmacy and consumer goods often run pre-sales routes: a rep visits the same shops, cafés and restaurants on a fixed cycle, takes the order, and a delivery follows from the warehouse. The CRM requirements here are different from project selling.
Many Portuguese ERPs offer their own mobile sales app, which shares prices and stock with the back office. A standalone CRM may be better for prospecting and reporting but needs a reliable integration. I score both against a recorded day on a real route. My wider method is described under CRM consulting, and distribution businesses will recognize most of this design.
Developers and agencies selling new apartments or houses in Portugal work with a fixed stock of units, buyers from several countries and a sales path with formal steps. A standard deal pipeline does not show what management needs: how many units are still available, at which price, and where each reservation stands.
I design the CRM around the unit:
Foreign buyers often communicate in English or French, so correspondence language is a contact field and templates exist per language, written by your team. Reports show availability by development, reservations at risk and sales by source and agency. Invoices for deposits or fees, where they apply, come from the invoicing program, as your accountant directs. Real estate companies elsewhere follow a similar pattern.
Portugal's technology and service scale-ups usually sell to customers outside the country, through a mix of inbound marketing, outbound prospecting and partner referrals. Their CRM problems are less about local rules and more about discipline between teams.
The design covers:
Contracts are often in euros, dollars or pounds, so each opportunity keeps its contract currency and the board's forecast converts at a budget rate agreed with finance. Where the company bills through a Portuguese entity, the invoice still comes from invoicing software that your accountant confirms meets the national rules. For the acquisition side, my business-to-business lead generation work connects campaigns to the same CRM data, and IT services firms often start there.
Many Portuguese companies run an ERP from a local software house that includes a CRM module or sales app. It shares customers, prices and stock with invoicing, and support comes from a supplier you already know. Standalone platforms may offer stronger pipelines, marketing automation and reporting, but they add an integration to maintain.
I compare the routes with scripted demonstrations built from your own sales motions, scored by the people who will use them. A typical comparison sets the ERP's module against one or two of Zoho CRM, HubSpot, Odoo CRM, Salesforce or Dynamics 365, depending on size and group context.
One question runs through every option: which documents may the CRM send to customers? Portuguese rules on invoicing software can reach some documents issued before the invoice, depending on their nature and use, and no CRM should be assumed to meet them. So I list every quote, proposal and order confirmation your team sends, ask your accountant which ones must come from the invoicing program, and design the CRM to stop at the right point. Whether a specific product or edition qualifies under the certification scheme is something the vendor must confirm in writing and your accountant must verify. My role is making sure the question is asked and the answer shapes the design.
Good CRM data in Portugal starts with the tax number. Each customer is matched on NIF, validated at entry, with the EU VAT number for foreign businesses. That key also links the CRM to the invoicing program, so customers are never created twice and invoice and payment status can flow back to the account record. Addresses follow the postal code structure so routes and territories work.
Consent is recorded per contact and channel, with source, date and the wording shown. How the GDPR and Portuguese rules on electronic marketing apply to your contacts is a question for your data protection officer; the CRM enforces their decision and keeps evidence. Hosting region and support access are asked of every vendor in writing during selection.
Reporting is designed around decisions: which routes and reps grow, which developments sell at list price, which lead sources produce signed contracts, and which overdue balances need a call before the next order. Definitions are agreed with finance first, so the CRM and the ERP do not show different revenue for the same month.
I work remotely; meetings in Portugal can be set up by arrangement. How the CRM connects to the invoicing program and other systems is covered under system integration consulting in Portugal, while the Portugal hub page brings together the rest of my work for Portuguese firms.

It depends on the document and how it is used. Some documents issued before the invoice can fall under the invoicing software rules. I list everything your team sends, your accountant decides which must come from the invoicing program, and the CRM is designed to stop at that point.
Sometimes, especially for route sales where prices, stock and invoicing already live in the ERP. I test it against standalone platforms on a recorded day on a real route and your other sales scenarios, then recommend the option that fits, with written reasons.
Yes, when it is designed around units. Each development holds its units and statuses, each buyer opportunity links to a unit and moves through reservation, promissory contract and deed, and introducing agencies are recorded. Compliance checks follow your advisor's procedure, with the CRM recording completion.
No single platform suits every Portuguese company. I compare options on your own scenarios, integration with your invoicing program, hosting answers and long-term cost drivers. No vendor, software house or partner pays me a commission or referral fee for a recommendation.
