How can a South African service business bill projects from Odoo?

A South African contractor, installer or professional firm can bill projects from Odoo by giving each contract one clear billing basis, such as a fixed price, milestones or billable time, linking every invoice to the client's purchase order, approving site timesheets before billing, scheduling technicians in field service and posting VAT invoices through Odoo Accounting. All of it is designed and tested remotely, independently of any partner, with Enterprise-only apps named up front.

Contractors on mine and plant sites

Engineering contractors, shutdown and maintenance crews and specialist service providers working on mines and industrial plants usually bill against the client's purchase order and rates schedule. Hours are often signed by the client's site representative before an invoice will be accepted, and invoices that do not quote the right order and line can sit unpaid.

How I set this up in Odoo:

  • A sales order per client purchase order, with the rates schedule as order lines for labor categories, equipment and consumables.
  • Projects and tasks per work package or shutdown, with time recorded against the line it bills to.
  • A signed timesheet document printed from Odoo for the period, signed by the site representative and attached to the invoice.
  • Order value tracking, so the team sees when billed work approaches the order value and requests an increase before working at risk.

Safety documentation, site access and induction requirements are usually handled in specialist systems or by the client; Odoo can hold reference documents but is not a safety management system. Installers: from fixed quote to maintenance plan

Solar, inverter and battery installers, like HVAC, security and fire service companies, share a pattern: a quoted installation, a commissioning visit, then a maintenance or monitoring plan. Odoo can run the whole sequence if it is designed as one flow.

  • Quote to project. A confirmed sales order creates the installation project, with milestones such as deposit, delivery of equipment and commissioning where those match your contract.
  • Equipment serials. Panels, inverters and batteries recorded by serial on the delivery, so warranty claims later have the data.
  • Field Service visits. An Enterprise app in recent versions; technicians see jobs on their phones, record time and parts, and capture customer sign-off.
  • Maintenance plans as subscriptions, also Enterprise in recent versions, or recurring orders configured another way, generating scheduled visits and invoices.

Timesheets that survive outages and site conditions

Time and materials billing depends on timesheets that are complete, on the right task and approved before the billing run. On South African sites, staff may be underground, at remote plants or working through a power cut, so the method of capture matters as much as the rule.

Rules I agree with project leads:

  • Capture method. Staff record time on the Odoo mobile app, or a supervisor enters crew time daily from a site register; mixing both without a rule causes duplicates.
  • Approval. Manager approval of time sits in Enterprise in recent versions, so a Community setup needs a different control.
  • Billable versus non-billable. Travel, standby during outages and rework set on the task rather than chosen by staff each time, with standby billing only where the contract allows it.
  • Missing time. A weekly report of incomplete timesheets sent to managers automatically.

Staff cost rates for margin reporting are agreed with finance, and access to timesheet and cost data is limited to the roles your HR lead and legal advisor approve under POPIA. VAT invoices and the handoff to accounting

Every project ends in an invoice posted in Odoo Accounting, using the South African localization's taxes and print layouts. What a valid tax invoice must show, and how specific services are treated for VAT, is for your tax practitioner to confirm. My checks on the project side:

  • Description and references. Client order number, site or project name and the period covered on every invoice, since accounts payable teams match on those.
  • Deposits and progress. Deposit invoices offset against later milestones, checked so the client's statement reads correctly.
  • Services to foreign clients. Possible different VAT treatment, set only on your practitioner's instruction.
  • Subcontractor invoices booked against the project's analytic account, so they reduce its margin.

Some large clients pay through supplier portals that require invoice uploads in a set format. Odoo produces PDF invoices and can export data, but portal submission usually stays a manual or separately integrated step. Where Odoo Projects is not enough

Odoo Projects earns its place when delivery and invoicing should share one database with the ledger. Plan for something else, or for add-ons, when:

  • Construction contracts with payment certificates, retention and remeasurement under standard building contract forms. These need construction-specific tools or significant customization; see the construction industry page.
  • Safety and site compliance is the main system need; dedicated safety platforms do this better.
  • Community-only budgets while field service, timesheet approval and subscriptions are core, since these have been Enterprise in recent versions.
  • The ledger stays on Sage or another package, which removes the main advantage of billing from Odoo.
