How can a Swiss engineering office or consultancy use Zoho Projects?
A Swiss engineering office, architecture practice or consultancy can use Zoho Projects to structure work by phase, track hours against fee budgets, share progress with clients in their language and pass approved time to Zoho Books, where invoices carry a QR-bill and are issued in francs or euros. A Zoho Projects consultant designs that structure; I do this remotely and independently.

Swiss planners, engineers and consultants typically work against a fee agreed per phase, with hours tracked to show whether each phase stays within budget. Clients may sit in another language region or across the border, paying in francs or euros. When the phase budget, the timesheets and the invoices live in separate places, overruns surface only after the phase is closed.
I set up Zoho Projects so each project carries its phase structure, fee budget and billing currency from the start, with timesheets, client updates and invoicing linked to them. The aim is a phase-by-phase view of effort against fee that project leads can act on while there is still room to negotiate.
Meetings take place remotely, and the engagement runs in English. Client-facing texts in German, French or Italian are produced by native speakers on your staff, and any visit to your office happens only by arrangement. I sell no Zoho licenses.
Swiss project firms bill by phase, by hour or both, often in two currencies. These services set up Zoho Projects for that.
Project templates whose phases follow the service model your contracts reference, such as the SIA phases for planners or your own stages for consultancies, with a milestone at each billing point.
Hours and cost budgets per phase derived from the agreed fee, with alerts as a phase approaches its budget, so project leads raise additional fee requests in time.
Client users with access to selected tasks, documents and progress, configured per project in the client's language and always without internal notes, rates or cost figures.
Billing currency fixed per client and project, with rates in francs or euros, so cross-border clients are invoiced consistently and reports show both original and converted values.
Approved hours, expenses and completed phases passed to Zoho Books or your ERP, where invoices carry the QR-bill payment part for Swiss clients and VAT follows your fiduciary's method.
A rule for how project timesheets relate to working time records in Zoho People, so hours are not entered twice and the record kept for employees is unambiguous.

Live projects through a billing cycle
Swiss architects and engineers frequently structure their services along the phase model of the SIA, the professional association whose regulations many contracts reference, with the fee allocated across phases from preliminary studies through to completion. Consultancies and agencies use their own stages, but the principle is the same: a budget per phase and a billing point at its end.
In Zoho Projects I translate that into:
Whether a contract follows the SIA model, and how the fee is calculated, depends on the contract and your professional guidance. I mirror what the contract says, so the project record matches the commercial agreement. The product in general is covered on my Zoho Projects page; here the focus is on Swiss practice.
A Zurich engineering firm may serve a client in Lausanne, a developer in Lugano and a manufacturer across the border in Germany. Each expects updates in its own language, and some expect invoices in euros. Zoho Projects can give clients access to their project through a client portal, with controlled visibility of tasks, documents and discussions.
Design decisions:
Client contacts in the portal are personal data under the revised FADP, and possibly under GDPR for EU clients. Access lists and retention are documented for your legal advisor. Where the data is hosted is a platform-wide question, discussed in my Swiss Zoho overview.
Zoho Projects does not issue invoices; Zoho Books or your ERP does. For Swiss clients the invoice carries a QR-bill payment part, and VAT is applied according to the method your fiduciary has chosen. For clients abroad, the VAT treatment of services follows rules your fiduciary confirms. The project side has to deliver clean billing data:
With Zoho Books, projects link to invoicing directly, and approved time becomes invoice lines in the right currency. If invoicing lives in a different ERP, the same data travels through an interface or a periodic file. The QR reference design and payment matching are covered on my Zoho Books Switzerland page, so this page stays with what reaches the invoice. Unbilled approved hours at month end get their own report, so finance can decide how to treat them.
Swiss employers generally have to record employees' working time, and project firms often ask whether project timesheets can serve that purpose. Sometimes they can, but only if every working hour, including internal and non-billable time, is captured with the detail your employment advisor requires. Otherwise Zoho People holds the working time record and Zoho Projects holds project hours, with a rule for how the two reconcile.
Resource planning depends on the same data:
With these in place, the workload view shows who is overbooked before a new project is promised. Without them, the view is decoration. I agree the minimum data each project lead must enter and check it during the early weeks of use. The HR side is covered on my Zoho People Switzerland page.
Engineering offices, architecture practices, consultancies, IT providers and agencies are the natural users of Zoho Projects in Switzerland. Another core system makes more sense when:
Splitting is often possible: a planning office can keep studies and design phases in Zoho Projects while a construction subsidiary runs its own system, as long as shared staff book their hours in only one place.
Costing questions are explored under ERP for project costing, and a side-by-side view of platforms sits on best ERP for professional services. Currency handling across francs and euros is discussed under ERP for multi-currency. Wider decisions run through my Swiss ERP advisory page, and the Swiss market overview explains how remote collaboration is arranged.

Zoho Projects has no built-in SIA model, but phases and milestones can mirror the phases your contract references, with fee budgets and billing points per phase. How the fee is calculated and allocated follows your contract and professional guidance; I make the project structure and reports match it.
Clients can be given portal access to selected parts of a project, and notifications and shared texts can follow the contact's language. The German, French or Italian wording is prepared by native speakers on your team. Internal notes, rates and budgets stay hidden from client users at all times.
Yes, through the invoicing system. The billing currency is fixed per client and project, rates are held in that currency, and Zoho Books or your ERP issues the invoice. Reports can show original and converted values, and the conversion rule is agreed with your fiduciary.
Only if they capture all working time, including internal and non-billable hours, at the level of detail your employment advisor requires. Otherwise Zoho People holds the working time record and Zoho Projects the project hours. I define which system is the record and how the two reconcile each month.
