Zoho fits Miami firms that run on many small jobs, deposits and documents rather than heavy inventory. Impact window and shutter installers can track product approvals, permits and inspections across the county's municipalities; charter brokers can follow inquiries, contracts and shared commissions; yacht managers can record each vessel's costs and crew card spending. I design the setup independently and remotely, and point out early where Zoho would be a poor fit.

South Florida has a dense layer of small firms shaped by hurricanes and boats. Installers fit impact-rated windows, doors and shutters under the demanding code rules that apply to Miami-Dade, and a marine economy running from the Miami River up to Fort Lauderdale supports charter brokers, yacht managers and service yards. These businesses juggle documents, deposits and approvals more than stock, which is where Zoho can work well.

My part is deciding which Zoho apps belong in the business, shaping modules and automations around real jobs, and marking clearly where another tool should take over. Because I work remotely and independently, with no reseller arrangement, the subscription you pick changes nothing for me. For lean setups I can configure the apps myself; larger custom builds go to a developer you appoint, working from my brief.

Impact window, door and shutter installers

Miami-Dade and Broward fall within the High-Velocity Hurricane Zone of the Florida Building Code, so windows, doors and shutters installed there need product approvals rated for those conditions, often a Miami-Dade notice of acceptance, and those documents travel with each permit application. An installer's job is therefore a chain of paperwork: measurement, quote, deposit, approvals for each product, the permit, a factory order with a long lead time, installation and inspections.

In Zoho CRM that chain becomes a permit-driven job tied to the address, the homeowner or building, and the product list, with stages that follow the permit rather than a generic sales funnel. Process rules can stop a job moving to ordering until the permit is issued, and from installation to final invoice until the inspection has passed. Approval documents live in one library and attach to the permit package, so nobody hunts for the right version under pressure.

The complication is geography. Miami-Dade has many municipalities, each with its own building department, portal and habits, plus the county itself for unincorporated areas. I record which jurisdiction each job falls under and what that department expects, so the office can see at a glance which permits are waiting and where. Contract, deposit and licensing rules for this work are questions for your attorney.

Yacht charter brokers working between clients and other brokers

A charter brokerage in Miami or Fort Lauderdale lives on inquiries: a client wants a yacht in the Bahamas, another broker asks about availability, a captain confirms a crew change. Deals move from options to a signed contract, a deposit, a balance and, on many larger charters, an advance provisioning allowance that the captain spends and accounts for afterwards. Commissions are often shared between the broker who holds the listing and the broker who found the client.

Zoho CRM can hold this cleanly when it is designed around the charter rather than a product sale. I set up records for clients, yachts, owners and cooperating brokers, a charter deal with stages from inquiry to completed trip, and fields for contract dates, deposit and balance status, the provisioning allowance and each party's share of commission. Zoho Sign can carry the contract signatures, and Zoho Books handles invoices, receipts and commission payments, in more than one currency when clients pay from abroad.

Sales tax on charters is a specialist question with Florida-specific rules, so I leave the treatment to your tax advisor and make sure the system records the facts they need, such as where each charter begins and which waters it covers.

Yacht managers and the costs of each vessel

Yacht management firms run vessels for owners who often live abroad. They hire and pay crew, arrange maintenance and yard periods, renew insurance and registrations, and send each owner a clear account of where the money went. Each yacht may belong to its own company, and the cash that pays its bills may be the owner's money held for that vessel rather than the manager's own.

That distinction decides the Zoho Books design, and your accountant should settle it first. Depending on their view, each vessel becomes its own organization in Zoho Books, or a project or reporting tag inside the manager's books, with owner funding recorded so it can never be confused with the management income the firm earns. Bills from yards, marinas and suppliers are approved by the manager and coded to the right vessel, and owners receive a monthly statement they can read without needing a call.

Crew spending is the other headache. Captains and crew pay for fuel, provisions and dockage on cards in several countries. Zoho Expense can capture receipts on a phone, convert foreign currency and route each claim for approval before it reaches the vessel's accounts, which keeps owner statements current instead of weeks behind.

Florida sales tax and the Zoho Books setup

Florida charges a state sales tax, and many counties, Miami-Dade among them, add a discretionary surtax on top. For an installer, a charter broker or a yacht manager, the harder question is what is taxable at all: the products installed, the labor, a charter, a repair invoice, parts shipped to a yacht outside Florida. Those answers come from your tax advisor, not from a software default.

Once the advisor has given a position, I set up Zoho Books to match it: tax rates and groups, item and service taxability, customer exemptions with certificates on file, and the reports the person filing returns needs. I then raise test invoices for the awkward cases, for example an installation that mixes taxable products with labor, or a repair for a foreign-flagged vessel, and compare the results with what the advisor expects before anything goes live.

Miami cases that call for something other than Zoho

Some Miami businesses outgrow Zoho quickly, and it is better to know that before subscribing. A refit yard with a large parts store, detailed job costing by work order and many technicians logging time against vessels usually needs stronger inventory and project accounting; the Miami Odoo consultant page looks at that route. Zoho Creator can fill some gaps, such as a custom permit tracker or a register of crew certificates, but every custom app is software you must maintain. When the gap sits at the center of how you earn money, a different platform is often the better long-term choice than an ever-growing set of workarounds.
