State licensing, refrigerant handling and inductions

Australian trade licensing is largely run by the states and territories. Electrical contractors and electricians, plumbers and gasfitters each hold licenses issued by the relevant state regulator, and the classes and conditions differ across borders. Work on refrigeration and air conditioning equipment involving refrigerants requires a national refrigerant handling license, and construction sites expect general construction induction (the white card) plus site-specific inductions.

For a business with crews in more than one state, keeping this straight on spreadsheets is risky. Each license and ticket becomes its own entry on the worker profile with the issuing state, class, number and expiry, alongside apprentice status. Scheduling and dispatch can then check qualifications when a job is assigned, and HR receives alerts before renewal dates.

Subcontractors need the same treatment. Specialist trades such as fire, controls and data cabling often work under your jobs, and their licenses and insurance should be held on the supplier record and checked before a purchase order is issued. Certificates of compliance and commissioning evidence

Electrical and plumbing work in Australia generally ends with a certificate of compliance or similar notice, issued to the customer or lodged with the regulator, and the format and rules vary by state. Gas installations, backflow devices, thermostatic mixing valves and fire systems bring their own test and certification records. When those documents live in an inbox, jobs are closed without them and nobody notices until an audit or a dispute.

I make the certificate part of the job workflow. Each job type carries a list of required certificates and tests. The technician records the certificate number and attaches the document from the mobile app, the office confirms lodgement where it applies, and the job cannot move to invoicing or completion while a required item is missing.

On larger projects, commissioning adds startup sheets, balancing reports and witnessed tests by system. I design the handover so installed equipment, with serial numbers, warranty terms and test results, becomes the asset list for the building. That list then feeds the maintenance contract, which matters a great deal for mechanical and fire services businesses whose recurring revenue depends on it.

Imported plant, lead times and regional jobs

A good deal of MEP equipment installed in Australia is manufactured overseas, so lead times and shipping disruptions directly affect job programs. Splits, VRF systems, chillers, switchboards, pumps and fire panels may be ordered months ahead, sometimes in foreign currency, with freight and clearance costs added on arrival.

I design the purchasing process so each order line shows its expected ship and arrival dates, and so a slipping date flags the jobs that depend on it. Landed cost brings freight, clearance and duty into the equipment value, and GST on imports is handled as your accountant directs. Serial numbers are captured on receipt rather than reconstructed later.

Distance is the other Australian reality. Jobs in regional towns, mining areas or remote communities depend on material sent by road freight, held in a site container and supplemented from local suppliers at short notice. Without a clear stock process, material sent to a regional job is simply expensed and forgotten. I define locations for vans, containers and yards, transfer and return rules, and a short count routine, so job cost includes what was actually used and surplus can be recovered.

Essential services and maintenance after handover

Building owners in Australia have ongoing obligations to maintain fire and other essential safety measures, with periodic inspections and annual statements or reports that differ by state. Fire protection maintenance commonly follows the relevant Australian Standard, and mechanical services such as cooling towers and air handling systems carry their own maintenance and hygiene requirements. For MEP contractors that maintain these systems, the work is regular, documented and audited.

An ERP for this side needs an asset register by building and system, inspection routines with the right frequency, mobile checklists for technicians, defect recording with photos and quoted rectification work, and contract billing that separates routine service from chargeable repairs. Clients often expect reports in a particular format, so output design is part of the requirement set.

Some businesses run this in a dedicated compliance or field service app. That can be the right answer if the app is strong and the ERP receives completed work for billing and stock. Current systems and why an independent view helps

Australian MEP businesses often start with Xero or MYOB for accounting, a trade job app that handles quoting, dispatch and timesheets, an estimating tool and spreadsheets for licenses, certificates and imports. That stack works for a while, then breaks when the business adds a second state, a larger project or a big maintenance portfolio.
