How should a French company run Zoho Books with its expert-comptable?

A French company should run Zoho Books as the day-to-day ledger the expert-comptable can trust: TVA settings agreed with them, a review of each TVA return against the ledger before filing, an FEC export tested on real data, invoices prepared for the e-invoicing reform, SEPA bank files and a migration limited to balances and open items. Zoho Books works well in that setting only if its setup matches the way your firm of accountants works, from account numbers to journal codes.

TVA settings and the review before each return

French TVA has more variations than many finance teams expect: several rates depending on the product or service, intra-EU supplies, services bought from abroad, exports and, for services, the question of whether tax becomes due on invoicing or on payment received. These choices belong to your expert-comptable. Zoho Books simply has to apply them consistently.

I begin with a scenario list your accountant signs off. For each line we create a test transaction and note where it should appear on the return. That list becomes the acceptance test for the configuration and the reference for anyone who joins the team later.

The return then needs a regular review routine, whether your accountant files it or your team does:

  • compare the Zoho TVA report with the balances of the TVA accounts in the ledger
  • check that supplier invoices received late are dated in the right period
  • look at any transaction with an unusual tax setting or a manual adjustment
  • for services taxed on receipt, confirm that payments rather than invoices drive the figures, if that is your accountant's choice

Customer and supplier accounts the French way, and the FEC

French accountants are used to reading the ledger through auxiliary accounts: each customer and supplier has an identifier beneath the main receivable or payable account. Zoho Books tracks balances by contact, which is similar in spirit, but the export has to present that detail in the way your accountant expects.

This matters most for the accounting entries export, the FEC. The file must contain every entry with journal codes, account numbers, auxiliary account details where relevant, document references and dates. Gaps usually come from configuration rather than the software: a journal with an unclear code, a contact without a proper reference, a manual entry with no supporting document number.

My test is practical:

  • run a realistic test period with invoices, credit notes, payments and adjustments
  • export the file and let the expert-comptable load it into their own tools
  • review missing or odd fields together and fix the setup
  • repeat until the accountant accepts the file

Preparing Zoho Books invoices for the e-invoicing reform

The reform will move invoices between French businesses onto structured formats sent through approved platforms. Rather than repeat the general picture, I focus on what a Zoho Books user has to prepare inside the system.

  • Identifiers on every customer. SIREN for French businesses, VAT numbers for EU customers, and the correct billing establishment where a customer has several sites.
  • Complete invoice data. Product descriptions, quantities, units, tax categories and payment terms must be held as fields, not typed into free-text notes, because structured formats carry them separately.
  • Sequence and corrections. Credit notes are linked to the invoice they correct, and numbering stays continuous.
  • Status tracking. Platforms return statuses such as received, rejected or paid. Decide where those statuses appear for your team, whether in Zoho Books or in the platform portal.
  • Supplier invoices. Incoming structured invoices must reach accounts payable for approval and booking without retyping.

Whether Zoho Books connects to a platform itself or through a third-party service is a question I put to Zoho in writing and test once an answer exists. Your expert-comptable confirms timing and scope for your company. The cleanup of existing customer data is part of my data migration work.

Bank files, direct debits and switching to Zoho Books

French companies pay and collect mostly through SEPA transfers and direct debits, and some still use bills of exchange with certain customers or suppliers. Zoho Books has to fit the banking setup you already have.

  • Statements. Check whether a feed exists for each of your banks in your Zoho region. If not, I set up a regular import of statement files and matching rules for recurring entries.
  • Payments out. Supplier batches are approved in Zoho Books and turned into a transfer file for your bank, tested with a small real payment first.
  • Direct debits. Mandate references and signature dates live on the customer record and feed the collection file.
  • Bills of exchange. If you still use them, I agree with your accountant how they are recorded, since this may sit outside standard Zoho features.

Migration into Zoho Books usually starts at a period boundary agreed with the accountant. Balances come from their trial balance; open customer and supplier invoices come over one by one so payments can be matched later. Customer identifiers are cleaned before import. The previous accounting software stays accessible for consultation, and history remains with the accountant rather than being recreated in Zoho.

French companies better served by another accounting setup

Zoho Books suits many French service companies, agencies, startups and small distributors. I suggest another approach when:

  • Analytical accounting drives management. Companies that allocate costs across many sections or projects with detailed rules may need a fuller ERP. Odoo Accounting in France or Business Central in France can be compared.
  • The accountant requires their own software for bookkeeping and will not work from exports. Zoho can then remain an invoicing tool feeding them documents.
  • A confirmed e-invoicing route is needed immediately and the answer for your edition is still unclear.
  • Several French entities need consolidation inside the accounting system rather than in a spreadsheet at year end.
  • Stock valuation matters to the accounts, with landed costs and inventory reserves your accountant reviews closely.
