How should a New Zealand food business set up Odoo Inventory?

A New Zealand food or beverage business should set up Odoo Inventory with batches and expiry dates on every ingredient and finished product, a first-expiry-first-out picking rule, locations for chilled and frozen stock, and a clear record of stock held by cold store or logistics providers. A tested recall trace and GST invoicing through Odoo Accounting or Xero complete the design, which I build and check remotely.

For a New Zealand producer of cheese, yogurt, ice cream, sauces, baked goods or nutritional powders, inventory is about more than counts. Ingredients carry batch numbers and use-by dates, finished goods move through chilled or frozen storage, and a food safety program expects you to trace any batch quickly if something goes wrong.

I work remotely with New Zealand operations managers, quality leads and owners to design Odoo Inventory around that reality. The same principles apply to small manufacturers of non-food products, such as outdoor gear, cosmetics or building components, where batch control and multiple storage sites matter as much as speed.

I have no commercial tie to Odoo or to any New Zealand implementer, so I can tell you when a simpler tool, or an add-on to Xero, would do the job.

These are the pieces I design and test when a New Zealand food or product business moves stock control into Odoo.

Batch and Expiry Control

Lot tracking with expiry, best-before or removal dates on ingredients, packaging and finished goods, plus alerts before stock becomes unsellable, set according to how your products actually age.

Temperature Zones

Separate locations or warehouses for ambient, chilled and frozen stock, with putaway rules that send each product to the right zone when it is received or produced.

Outside Cold Storage

Stock held by cold store or logistics providers modeled as its own warehouse, with agreed rules for dispatch instructions, confirmations and regular stock reconciliation against their reports.

Units and Pack Sizes

Units of measure for kilograms, liters, cartons and pallets, with conversions that let purchasing buy in bulk while sales sell by the case and production consumes by weight.

Recall Readiness

A tested trace from supplier batch to customer delivery and back, rehearsed with your quality lead so a mock recall can be answered from Odoo instead of paper files.

Valuation and GST Handoff

Costing and valuation agreed with your accountant, with invoices issued either by Odoo Accounting with New Zealand taxes or by Xero through a tested connector.

Batches, use-by dates and first expiry first out

A New Zealand food producer may hold milk powder, cultures, fruit preparations, packaging and finished goods, each with a different shelf life. If the system does not know which batch expires first, pickers choose whatever is nearest, and write-offs follow.

Odoo Inventory supports lots with expiration-related dates, and a removal strategy that picks the batch closest to expiry first. Making it work well takes a few decisions:

  • Which dates matter for each product: use-by, best-before, the date stock should be removed from sale, and an alert date ahead of it. Your quality lead sets these from the product specification.
  • Where batch numbers come from: supplier lot numbers on ingredients, your own production batch on finished goods, and a consistent format staff can read on labels.
  • Remaining shelf life rules for customers, since grocery and foodservice buyers may refuse deliveries with too little life left. Odoo can show expiry on deliveries, but enforcing a minimum per customer may need configuration or a module, so I check what your version offers.
  • Quarantine for goods awaiting test results or release, using a separate location that sales cannot allocate from.

Packaging and labels sometimes need batch tracking too, especially where allergen or label errors would trigger a recall. I agree the tracking level with your quality lead, since every tracked item adds a step for staff. The general mechanics are on the Odoo Inventory page.

Cold stores, logistics providers and stock you do not hold

Smaller New Zealand producers often do not run their own frozen warehouse. Finished goods go to a cold store or a logistics provider that picks and dispatches to supermarket distribution centers, foodservice wholesalers or export containers. The provider runs its own system, and differences between its figures and yours are a regular source of month-end arguments.

I model each provider as a warehouse in Odoo and agree:

  • Who owns the stock figure: usually Odoo for value and availability, with the provider's report as the physical check.
  • How dispatch instructions are sent: by email, portal upload or an integration, depending on what the provider accepts and the volume involved.
  • How confirmations come back, including the batch shipped, so traceability is not lost at the provider's door.
  • How often stock is reconciled and who resolves differences.

Where volume justifies it, an integration with the provider's system can automate orders and confirmations. Each integration gets a written specification covering data, frequency, error handling and ownership; my system integration page explains how I approach that. Recalls, food safety programs and what Odoo can show

New Zealand food businesses operate under a food control plan, a national program or a risk management program, depending on what they make and where they sell. Each expects records that let you trace products one step forward and one step back. The specific obligations, and what your verifier or the regulator will ask to see, are questions for your food safety consultant, not for a software design.

What Odoo can provide, when configured carefully:

  • Backward trace from a finished batch to the ingredient and packaging lots consumed, through manufacturing orders.
  • Forward trace from an ingredient lot to every finished batch and every customer delivery that included it.
  • Supplier records for approved suppliers, with documents attached where your edition supports it.
  • Quality checks on receipt, such as temperature or certificate checks, using the Quality app in Enterprise or a quality location step in Community.

A trace is only as good as the transactions behind it. If production consumes ingredients without recording batches, the report will look complete and be wrong. I therefore run a mock recall with your quality lead before go-live and fix whatever breaks the chain. Barcodes, pack sizes and invoicing with GST

Grocery customers expect barcodes to the global retail numbering standard on consumer units and cartons, and pallet labels may need shipping container codes. Odoo's Barcode app, which is Enterprise, can read standard barcodes that encode product, batch and expiry in one scan, which speeds up receiving and picking in a batch-controlled warehouse. Confirm the exact barcode features and label printing options for your version with Odoo or your partner. A Community setup would need a scanning module from another developer instead.

Units of measure need equal care. Ingredients are bought by the tonne or by the bag, consumed by the kilogram, and finished goods are sold by the each, the case or the pallet. I set up unit categories and conversions so purchasing, production and sales all record in their natural unit without manual conversion.

Invoicing is where inventory meets GST. If Odoo Accounting is the ledger, deliveries flow to invoices using the New Zealand localization's taxes; if Xero stays, a connector carries invoices or sales summaries across, and its handling of credit notes for short-dated returns needs testing. What to confirm, and when Odoo Inventory is more than you need

Before committing, I ask you to confirm these with Odoo or your implementer for the version and hosting you plan:

  • Barcode, Quality and some carrier connectors are Enterprise; check which your warehouse depends on.
  • Expiry handling, minimum remaining shelf life and catch weight behave differently across versions, and catch weight in particular may need an add-on.
  • Any connector to Xero, a cold store provider or an Australian logistics partner must run on your hosting, as Odoo Online limits third-party modules.
  • How the New Zealand localization and an Australian company would share stock, if you run both.

Odoo Inventory may be more than you need if you hold one product range in one location with simple batch tracking and Xero meets your accounting needs. A stock add-on to Xero can be enough there. It may be less than you need if you run a high-volume distribution center with automated storage or complex labor planning, in which case a warehouse system beside Odoo is worth considering. Questions About Odoo Inventory Consultant New Zealand

Yes. With lots and expiration dates enabled, Odoo can apply an earliest-expiry removal rule, which reserves the batch nearest its date before newer ones. Enforcing a minimum remaining shelf life per customer may need extra configuration or a module, which I check for your version.

I set up the provider as its own warehouse in Odoo, agree how dispatch instructions and confirmations flow, and schedule regular reconciliation against the provider's stock report, including batches. Where order volume justifies the effort, an integration can automate dispatch orders and confirmations.

Odoo's traceability report can follow a lot back to ingredients and forward to customer deliveries, if batches are recorded at every step. I run a mock recall with your quality lead before go-live. What your food safety program requires is confirmed by your food safety consultant or verifier.

Confirm the exact barcode and label features for your version with Odoo or your partner.

Yes, with a connector that passes invoices or sales summaries to Xero. Test how it treats GST codes, credit notes for returns, payments and stock value. If the connector proves fragile or volumes are high, moving the ledger to Odoo Accounting may be simpler.
