A freelance ERP consultant gives a Swedish company independent, client-side expertise without a software sale attached. Typical engagements are a fixed-scope assessment of current systems, a part-time fractional ERP lead during selection and rollout, or a critical review of implementer proposals. Swedish localization, payroll connections and Swedish-language training are usually left to a local partner, while I deliver remotely and in English under a direct contract with you.

Why Swedish companies bring in an independent consultant

An ERP decision brings together finance, operations, sales and IT, and in a growing Swedish company each of those areas may have a strong view and a favorite tool. Vendors respond by demonstrating their best features, and implementers propose the platform they know. None of that is wrong, but it means nobody in the room is paid purely to keep the decision honest.

That is the gap a freelance ERP consultant fills. I start with the business, not the software: how orders are taken, how stock and projects are managed, how invoices reach customers and how figures reach the accountant. From there I help you decide whether a new system is justified at all, what it must do, and which options deserve a serious look.

The first engagement is usually a bounded assessment with a written recommendation. It is short enough to commit to easily and concrete enough to act on. If the answer is to improve the tools you already have, the report says so. If the answer is to replace them, the next step is a structured ERP evaluation against documented requirements, with me or with whoever you choose.

Fractional ERP leadership for scale-ups and subsidiaries

Two kinds of Swedish company tend to need part-time ERP leadership. Scale-ups have outgrown their first tools but are not ready to hire a permanent ERP manager. Subsidiaries of foreign groups often receive a platform decision from headquarters but have nobody locally who can represent Swedish needs in the rollout.

As a fractional ERP lead, I take on the client-side responsibilities that otherwise fall between chairs:

  • Owning the project plan from the company's side and keeping a written log of decisions and open questions.
  • Representing Swedish requirements, such as SIE exchange, Peppol invoicing and payment matching, in group or implementer discussions.
  • Reviewing design documents and configuration against agreed requirements.
  • Assessing change requests and keeping scope under control.
  • Organizing acceptance testing so the people who will use the system sign it off.

Time commitment is agreed in advance and flexes with the phase: heavier around design and testing, lighter during build. When the system is stable, the role can hand over to an internal owner with documentation that makes the transition practical.

Reviewing proposals from Swedish implementers

Implementer proposals look alike at first glance and differ sharply in the fine print. Before you sign, I read each proposal against your requirements and ask the questions that change the real cost and risk of the project.

The points I check include:

  • The pricing basis, fixed scope versus time and materials, and the assumptions it rests on.
  • What the Swedish localization actually covers, and whether SIE files, Peppol sending and receiving and bank file formats are included or extra.
  • Who is responsible for data migration, including cleansing and reconciliation, rather than only the technical import.
  • The split of testing effort, and whether much of it quietly falls to your staff.
  • Training scope, language and format.
  • The support agreement after go-live: response expectations, what counts as a change and how updates are handled.

I summarize the findings in a comparison you can share with management, plus a list of clarifying questions to send back. The aim is not to push you toward one implementer but to make sure the proposals are comparable and the gaps are visible before contract. Where a Swedish implementation partner remains essential

Independent advice works best alongside the right local delivery, not instead of it. For most Swedish projects, a local implementer or a vendor with Swedish capability should handle several things:

  • Installing and maintaining the Swedish localization, including statutory reports and file formats as they evolve.
  • Setting up Peppol connectivity and bank integrations with your Swedish bank.
  • Connecting the ERP to your payroll provider and any time or expense tools.
  • Training staff who prefer to learn in Swedish and writing Swedish user guides.
  • On-site support at warehouses or plants during go-live, where that is needed.

Where a smaller company picks Zoho, Odoo or ERPNext, more of the configuration can sit with me, done remotely, as long as Swedish localization work stays with someone able to demonstrate compliance with current rules. Supplier onboarding, contract terms and working hours

Engaging a consultant based outside the EU involves a few routine steps on your side. Finance or procurement will typically create a supplier record, collect company and bank details and agree a written contract. Because ERP work can involve access to personal data, a data processing agreement aligned with GDPR is sensible. Larger groups may require their own onboarding forms, security questionnaires and standard terms; I complete those as part of setup.

A clear contract for this work should state the scope and deliverables, how changes are requested and approved, confidentiality obligations, ownership of the documents produced and how either party can end the engagement. Your accountant confirms how a services invoice from a non-EU supplier is handled for VAT. What it costs depends chiefly on how broad the scope is, how many legal entities and locations are involved and whether support continues after go-live.

On timing, the Swedish morning and the start of the afternoon coincide with my working day in India; workshops, steering calls and reviews go there. Analysis and drafting happen outside that window.
