What should a UK business decide before rolling out Zoho One?
A UK business should decide which few apps go live first, how Zoho One sign-in works alongside Microsoft 365, how each new app is added to its records of processing under UK GDPR, who needs a license, and which systems stay outside, such as payroll. As an independent Zoho One consultant I settle these points with you before configuration starts.

British companies that look at Zoho One are usually agencies, consultancies, wholesalers, trade businesses and growing B2B firms with a Microsoft 365 tenant, an accounting package their accountant likes, and a handful of separate tools for sales, projects and support. The bundle promises to pull those tools together, and for many firms it can.
I work remotely with UK teams to decide how far that consolidation should go. My focus is the suite as a whole: the order in which apps are switched on, how sign-in fits your Microsoft environment, what your data protection lead needs to know about each new app, and where Zoho One should stop.

The bundle question in Britain is less about features and more about governance: who signs in how, who owns which data, and who keeps it tidy.
An ordered plan for which apps go live in which wave, built from your process map and contract renewal dates rather than from the full catalog Zoho One unlocks on day one.
Single sign-on from Microsoft Entra ID, calendar and mail sync choices, and clear rules for which documents live in SharePoint and which in Zoho WorkDrive, if any.
A per-app record of what personal data is stored, why, for how long and who can see it, ready for your data protection lead to fold into the existing records of processing.
For agencies and consultancies: Zoho CRM deals becoming Zoho Projects work, approved timesheets flowing to billing, and utilization reports that partners and directors trust.
A role-by-role count of who needs which app, including freelancers, subcontractors and site staff, so you can test the licensing on offer against your actual organization.
For existing Zoho One accounts: unused apps, stale users, overlapping automation and data held in the wrong app, with a prioritized fix list and owners named for each item.

In the UK the first wave is shaped by what the business sells. Two patterns come up repeatedly.
Agencies, consultancies and professional firms start with Zoho CRM and Zoho Projects, because the real problem is the gap between a won proposal and the delivery team's timesheets. Getting deals, project budgets and logged hours into one chain gives directors utilization and margin by client without a monthly spreadsheet.
Wholesalers, importers and trade suppliers start with CRM and stock, with Zoho Inventory sitting next to the finance app so account managers can see availability and credit status before they promise a delivery date.
In both cases finance joins in a planned wave. Some firms move the ledger to Zoho Books as part of Zoho One; others keep their existing accounting package for a period and sync invoices across. Zoho Desk tends to follow once customer data is clean, and Zoho People last.
What I see skipped most often is Zoho Mail and the collaboration apps. British offices are heavily invested in Microsoft 365, Teams and SharePoint, and moving email gives little business benefit. I would rather your staff learn three Zoho apps well than nine apps badly. The global Zoho One consultant page explains the general sequencing logic.
Because Microsoft 365 is the default in so many UK businesses, the Zoho One directory usually has to trust Microsoft Entra ID rather than replace it. I design that layer before any app is configured.
If your business holds or is working toward Cyber Essentials, ask your assessor how cloud services such as Zoho One fall within scope, since controls on user accounts, administrator privileges and multi-factor sign-in are central to the scheme. Building the access model properly at the start makes that conversation straightforward.
Mail and calendar sync between Zoho CRM and Outlook also needs a per-team decision. Sales may want it; finance may not.
A single CRM is one processing activity. Zoho One can quietly become ten: CRM, Campaigns, SalesIQ chat, Forms, Desk, People, Recruit, Survey and more, each collecting personal data in its own way. Under UK GDPR, every app you switch on is a change your data protection lead should know about.
For each app in the plan I record:
Marketing apps need extra care. Electronic marketing in the UK is also governed by PECR, so consent or soft opt-in status should be captured as structured fields in CRM and respected by Zoho Campaigns or Marketing Automation, not held in someone's head.
Two bundle-specific points are easy to miss. First, a subject access request may now involve searching several apps, so I document where a person's data can live and how to export it. Second, every app inherits the hosting region your Zoho organization was created in, while integrations and marketplace extensions may send data elsewhere. Zoho One licensing has come in an all-employee version and a version for a chosen set of users. Ask Zoho which options and terms apply when you buy, because the answer shapes the business case more than any feature.
British organizations often have people who complicate the count: subcontractors working under the Construction Industry Scheme, freelancers on agency projects, part-time staff in warehouses or shops, and directors who only want dashboards. I list each group, the apps they need and how they would access them, so you can test the license structure against real roles.
Equally important is what the bundle will not replace in a typical UK firm:
