How does a Zoho Analytics consultant help an Australian business?

For an Australian business, a Zoho Analytics consultant joins Xero or MYOB, job management and POS apps, the CRM and ad accounts into dashboards built on GST-exclusive figures and the July to June financial year. Plenty of Australian businesses run Zoho CRM or Zoho Inventory beside Xero or MYOB, with a job management app for the field team and a POS or Shopify store for retail sales. Each tool has decent reports of its own. None of them answers the owner's question: which jobs, customers and campaigns actually make money across the whole business?

I work remotely with Australian owners, operations managers and their accountants or bookkeepers to answer that question in Zoho Analytics. We settle the definitions first, including whether figures include GST and which entity in a family group owns each sale, then I connect the sources and build the dashboards each person needs.

Xero, MYOB and the job apps beside them

Australian small and mid-sized businesses rarely run everything in one product. Xero and MYOB hold the ledger in most firms I speak with, often looked after by an external bookkeeper. Trades and field service companies add a job management app for quotes, scheduling and timesheets. Retailers add a POS or Shopify. Sales may sit in Zoho CRM, and payroll in a dedicated Australian payroll platform.

Zoho Analytics can bring much of this together, but the connector list and sync frequency vary by app and plan. For each source I confirm:

  • The route in. A built-in connector where one exists, an API or a scheduled export where it does not. MYOB desktop files generally need a different route from cloud ledgers.
  • The shared key. Jobs, quotes and invoices must share a reference so a job in the field app can be matched to its invoice in the ledger. Without one, job profitability is guesswork.
  • The trusted figure. The ledger wins for revenue and cost, the job app for hours and status, the CRM for pipeline.

Payroll detail is sensitive, so labor cost usually comes in summarized by job or crew rather than per employee. Where the stack itself is the problem, such as duplicate customers across three apps, I list the fixes and their owners, often as part of a broader system integration review.

GST-exclusive figures and the July to June year

Two Australian details cause more dashboard disputes than any technical issue.

The first is GST. Job apps, POS systems and storefronts often show amounts including GST, while the profit and loss your accountant prepares is GST-exclusive. Blend the two without care and revenue looks larger in some views than others. I define every revenue and margin KPI on GST-exclusive values, keep GST in separate fields for finance, and label each dashboard clearly. GST-free and input-taxed sales are kept distinct where your accountant needs them visible.

The second is the financial year. Australia's runs July to June, and quarterly views should line up with BAS periods. Default date settings in many tools assume a calendar year, which quietly produces year-to-date figures nobody recognizes. I set the fiscal year in the model and test every year-to-date and prior-year comparison against the ledger.

With those settled, the reports owners and lenders tend to request become straightforward:

  • Monthly profit by entity, branch and job type against budget.
  • Debtor aging, which also supports debtor finance or bank facility reviews.
  • Work in progress and unbilled jobs for project-based firms.
  • Cash by account with upcoming BAS and super payments visible.

Each KPI is agreed with your accountant before it appears on a management dashboard.

Companies, trusts and a New Zealand arm in one view

Family-owned Australian businesses often trade through a company or a trust, hold property or equipment in another, and sometimes run a New Zealand entity. Each has its own Xero or MYOB file, which suits the accountant. The owner still wants to know how the whole group is performing.

The group model I design:

  1. One reporting chart that every file maps to, even where account names and codes differ between bookkeepers.
  2. Intercompany tags for rent, equipment hire, management fees and loans between entities, removed from the combined view.
  3. An entity filter so any report reads for a single company, a single trust or the group.
  4. Currency handling for a New Zealand entity, using a rate table finance maintains.

Distributions to beneficiaries, shareholder loans and similar items are sensitive and usually belong in a restricted workspace for the owners and accountant only. This is management reporting, not tax or statutory consolidation, which remain with your accountant. From ad click to paid job

Australian trades, home services and B2B firms spend on Google search and local listings, Meta, and sometimes lead marketplaces. Each source reports leads; few report profit. Owners want to know which channel brings jobs that are quoted, won, completed and paid.

The reporting chain I build in Zoho Analytics:

  • Spend by campaign from Google and Meta through a connector where your plan has one, or a scheduled import.
  • Inquiries in the CRM with source and campaign captured, including phone calls, which in Australia are often the main lead channel and need call tracking or a disciplined manual field.
  • Quotes and jobs from the job app, linked to the inquiry.
  • Paid invoices from Xero, MYOB or Zoho Books, GST-exclusive.

The result shows cost per paid job and margin by channel and suburb or region, which often differs sharply from cost per lead. It also shows quote conversion by salesperson or estimator, a useful view for owners deciding where to spend time. This joins my paid marketing and Google Ads work to the numbers that matter.

Privacy, hosting and when Power BI or a warehouse is better

Reporting tools gather personal information quietly: customer addresses, phone numbers, staff hours and pay. Australian privacy obligations apply to that data wherever it sits. I keep personal details out of dashboards where an aggregate will do, restrict staff and pay data to named roles, and set row-level access so branch or state managers see only their own region. Ask Zoho which data center region your account uses and whether every app you report from is hosted there, and check contract or sector requirements with your advisor.

Zoho Analytics fits well where Zoho already runs a good part of the business and the owner or bookkeeper will maintain reports. I recommend alternatives when:

  • The business is Microsoft-centric. Teams on Microsoft 365 and Business Central with Power BI skills in-house usually do better with Power BI.
  • Volumes are large. Item-level POS history across many stores, telematics or web event data suit a warehouse with BI above it.
  • Xero reporting add-ons already do the job. If the only need is financial reporting from a single Xero file, a dedicated reporting add-on may be simpler than a full BI tool.
