How does an independent Zoho consultant help Australian companies?

For an Australian business, an independent Zoho consultant decides whether Zoho should replace or sit beside MYOB or Xero, sets up GST codes so the BAS is easy to prepare, plans how payroll with Single Touch Payroll and super connects, and designs Zoho CRM, Inventory or Projects around how the team works across states. The advice has no link to Zoho's sales targets or to any implementation firm.

I work remotely with Australian businesses weighing Zoho against the tools they already know, mostly MYOB and Xero, plus whatever CRM or job management app the sales and service teams adopted along the way. Common profiles are trades and field service operators, wholesalers bringing in stock from overseas, professional services firms and multi-state distributors.

The Australian questions are practical ones. Will the BAS come out right? Where does payroll live, given Single Touch Payroll and super? Is it worth leaving Xero, or should Zoho handle CRM and operations while Xero keeps the ledger? And how do teams in different states, some on daylight saving and some not, share one system?

GST and BAS in Zoho Books: what to check

Zoho Books has an Australian edition that records GST through tax codes and produces figures for the Business Activity Statement. A clean BAS still depends on decisions you make during setup, which I work through with your accountant or BAS agent:

  • Tax codes. Taxable, GST-free, input-taxed and out-of-scope supplies each need a code, and purchases need the matching treatment, including capital purchases that are reported separately.
  • Accounting basis. Whether you report GST on a cash or accrual basis changes how invoices and payments flow into the BAS. Confirm your organization is configured to match.
  • Imports. GST on imported goods is often paid at the border or deferred, and freight and customs charges need consistent coding so input tax credits are claimed properly.
  • Lodgement route. Check whether you lodge directly from the software or through your agent, and who signs off the figures each period.
  • PAYG withholding. If payroll runs in another system, the withholding amounts on the BAS come from there, so the handoff needs a named owner.

Before the first live period, I build a trial BAS from test transactions and reconcile it with your accountant. Tax invoices are also reviewed so they show your ABN and the details the ATO expects, which avoids awkward conversations with customers who claim credits.

Payroll, Single Touch Payroll and super

Payroll is often where Australian Zoho plans run into trouble. Employers send pay and super details to the ATO via Single Touch Payroll, pay superannuation on time, and in many industries apply modern award rules for penalty rates, overtime and allowances. That is specialist territory.

Whether Zoho's own payroll tool is open to Australian accounts can change, so confirm it rather than assuming. In most projects I keep or choose a dedicated Australian payroll tool and design the connection carefully:

  • Timesheets from Zoho Projects, a field app or rosters, approved before they reach payroll.
  • Leave balances held in one place only, either payroll or Zoho People, never both.
  • Employee master data with a clear system of record and a change process.
  • Summarized payroll and super journals posted into Zoho Books each pay run, by department or job if management wants labor cost by job.
  • A monthly reconciliation between payroll reports, the ledger and the BAS.

For trades and service businesses the important number is labor cost by job, so I make sure hours captured in the field reach both payroll and job costing from the same source, rather than being keyed in again by the office.

Leaving MYOB or Xero, or keeping Xero beside Zoho

Xero and MYOB are deeply embedded in Australia, and many bookkeepers and accountants prefer them. So the first question is not how to migrate, but whether to. I lay out three honest options:

  • Full move to Zoho. Sensible when you want CRM, inventory, projects and accounting in one suite with shared data, and your accountant is comfortable working in Zoho Books.
  • Hybrid. Xero stays as the ledger and Zoho runs sales, stock or jobs, with invoices and contacts syncing. This can work well if each system clearly owns its records, and badly if both are allowed to edit the same data.
  • Stay and improve. If the real problem is process, not software, a better Xero or MYOB setup may be enough.

When a move goes ahead, I plan it around the BAS calendar. Cutting over at the start of a BAS period keeps each statement within one system. Tracking categories or MYOB jobs map to reporting tags or projects, open debtors and creditors move invoice by invoice, GST balances are carried correctly, and the old file stays available for record-keeping. Trial balance, aged receivables and payables, and the GST accounts are reconciled before the old system is retired.

Hosting, distance and working with implementers

Australian boards and customers increasingly ask where business data is held. App coverage and hosting regions keep changing, so review which data-center locations your subscription can use and confirm every app you plan to use is hosted where you expect. Agree this before creating the organization, because relocating it later is disruptive. Government suppliers and health-related businesses should also check contract and privacy obligations with their advisors.

Distance shapes requirements too. Importers and distributors deal with long lead times, freight from overseas and stock spread between states, so landed cost and multi-location stock in Zoho Inventory often matter more than any CRM feature. Field teams covering large areas need mobile apps that work with patchy coverage.

The local Zoho implementation market includes Australian consultancies and offshore teams. Australian profiles that suit other platforms

Zoho is a good match for many Australian SMEs, but there are profiles where I would recommend something else or test very carefully first:

  • Award-heavy workforces. If complex award interpretation, rostering and payroll are the core problem, start with a specialist workforce and payroll platform and decide later what Zoho should do around it.
  • Construction head contractors. Progress claims, payment schedules under state security of payment rules, retentions and variations at scale usually need construction-specific software or a heavier ERP such as Odoo.
  • Manufacturers. Production planning, routings and work-order costing are not Zoho's strength.
  • Groups needing consolidation. Several entities, including trusts and companies, with formal consolidation and audit requirements may point to Microsoft Dynamics 365.
  • A strong Xero ecosystem. If your accountant, apps and team are all built around Xero and only sales needs work, adding Zoho CRM may be smarter than a full switch.

An ERP evaluation tests these situations with your real data. If Zoho is not the right core system, I will say so before you commit.
