What does a Zoho People consultant do?

A Zoho People consultant designs and configures Zoho People around how your HR team actually works: employee records, attendance, shifts, leave policies, onboarding, timesheets and approvals. As an independent Zoho People consultant, I map your HR processes first, turn policies into clear rules, connect Zoho People with payroll, finance and other Zoho apps, and train HR and managers to run it confidently.

Zoho People is Zoho's HR management application. It covers the employee database, attendance, shifts, leave, timesheets, onboarding, performance reviews and employee self-service. Most HR teams adopt it to replace spreadsheets, email approvals and paper forms, and that part usually works quickly. The difficult part is translating real leave policies, attendance rules and approval chains into configuration that holds up month after month.

As an independent Zoho People consultant, I start with your HR policies and the way managers and employees really behave, not with the settings screen. I document leave types, accrual and carry-forward rules, attendance and overtime logic, shift patterns and onboarding steps, then configure Zoho People to enforce them consistently and feed clean data into payroll.

I work remotely with growing companies that are moving HR into Zoho for the first time, cleaning up a Zoho People setup that has become hard to trust, or connecting HR data with finance, projects and reporting across the wider Zoho suite.

What Zoho People does well, and where it fits

Zoho People is strongest as the operational HR system for small and mid-sized organizations: one employee record, self-service for leave and attendance, structured approvals and a clear audit trail of who approved what. It fits businesses that have outgrown spreadsheets and email, have one or several locations with different holiday calendars, and want HR data to connect with the rest of a Zoho setup.

It fits particularly well when:

  • Leave and attendance approvals are currently handled by email or chat and nobody trusts the balances
  • Field, site or shift-based staff, common in facility management and construction, need to mark attendance from mobile devices
  • Onboarding involves several departments and steps keep getting missed
  • Timesheets feed client billing or project costing in Zoho Projects or Zoho Books
  • The business already uses Zoho One and wants HR inside the same identity and reporting layer

It is a weaker fit for large enterprises that need a full talent suite with complex compensation planning, succession management and deep workforce analytics, or for organizations whose labor agreements require highly specialized time and attendance rules that a dedicated workforce management product handles natively. In those cases I say so early, before configuration starts.

The Zoho People features that matter in real implementations

Most of the value in Zoho People comes from a handful of areas configured carefully, rather than every feature switched on.

Self-service is the adoption lever. If employees can see their own balances and managers approve on mobile, HR stops being the bottleneck. If the rules behind those balances are wrong, people stop using the system within weeks, which is why I test policy scenarios before launch.

Payroll, availability and how Zoho People connects

Zoho People manages the HR inputs; payroll is a separate step. Zoho Payroll is Zoho's own payroll application, but its availability varies by country and it is not offered everywhere Zoho People is used. During discovery I confirm what is available in your location and design the payroll handover accordingly.

  • Where Zoho Payroll is available: employee, attendance and leave data can flow into it directly, so loss-of-pay days and overtime reach payroll without re-keying.
  • Where it is not, or you prefer another provider: I define a payroll export or integration with your existing payroll system or bureau, with a clear cut-off date and reconciliation step.
  • Zoho Recruit: hired candidates can become employee records without retyping.
  • Zoho Books and Zoho Expense: employee data supports expense claims and cost allocation to departments or projects.
  • Zoho Analytics: HR data joins with finance and operations for headcount cost and utilization reporting, covered on the Zoho Analytics page.

Outside the Zoho suite, I connect Zoho People with access control or biometric devices, identity tools and other business systems through supported connectors or APIs. Every integration gets a documented owner and a failure check, because silent sync errors are the usual reason payroll goes wrong. Broader integration design is covered under system integration.

Migrating HR data into Zoho People

HR migration looks simple because the volume is small, but the data is sensitive and the opening balances must be right on day one. A wrong leave balance is the fastest way to lose employee trust in a new system.

My migration approach follows the same discipline as an ERP data migration:

  1. Inventory the sources: spreadsheets, a previous HR system, payroll files and document folders.
  2. Agree the master structure: departments, locations, designations and reporting lines before any employee is loaded.
  3. Cleanse employee data: duplicates, missing joining dates, inconsistent job titles and outdated managers.
  4. Calculate opening leave balances: agreed with HR and signed off per employee type, not copied blindly.
  5. Test load and reconcile: headcount, balances and reporting lines checked against the source.
  6. Run a parallel cycle: one attendance and leave period run alongside the old method before payroll relies on Zoho People.

Access to salary, identity and personal documents is restricted by role throughout. I keep migration files out of shared folders and agree retention rules with HR before the project closes.

Honest limitations, and how I help as an independent consultant

Zoho People is a practical HR system, but it is worth knowing its limits before you commit:

  • Payroll is a separate product, and Zoho Payroll availability varies by country, so some businesses will always need an external payroll provider.
  • Country-specific labor rules, such as end-of-service calculations or complex overtime agreements, often need careful configuration or custom formulas rather than a ready-made setting.
  • Advanced talent management, compensation planning and workforce analytics are lighter than in enterprise HCM suites.
  • Heavily customized forms and workflows become hard to maintain if nobody documents why they exist.
  • Feature depth can differ between plans and data centers, so I confirm what your subscription includes during discovery rather than assuming.

As an independent consultant, I have no reason to oversell Zoho People. If your requirements point to a dedicated payroll or workforce management tool alongside it, or to a different HR platform altogether, I will tell you. My work is business process consulting first: clear HR rules, then configuration, then training. You work directly with me from policy review through go-live, and you keep the documentation so your HR team can maintain the system without depending on an outside consultant.

Zoho People manages the HR inputs to payroll: employee data, attendance, leave and timesheets. Payroll itself runs in Zoho Payroll, which is only available in some countries, or in your existing payroll system. Availability varies by country and can change, so I check what is offered for your location during discovery and design the handover from Zoho People to whichever payroll option you use.

Usually, yes. Zoho People supports shift patterns, rotations and attendance from mobile devices, and it can work with supported attendance devices. The key is defining shift, overtime and regularization rules clearly before configuration. If your attendance rules are very specialized, I test them against real scenarios early and tell you if a dedicated workforce management tool would serve you better.

No. Zoho People can be used on its own. Zoho One can make sense if several departments will also use CRM, Books, Projects or other Zoho apps, because users and data are managed in one place. I compare standalone Zoho People against Zoho One based on your actual app scope and user count before you decide, using current pricing from Zoho.
