What does a Zoho People consultant do for an Italian employer?
For a company in Italy, a Zoho People consultant turns collective agreement entitlements, site calendars with the local patron saint day, attendance and smart working rules into a structured HR system, then prepares a clean monthly attendance file for the consulente del lavoro who runs payroll. I do this remotely and independently, and labor law questions stay with your consulente or lawyer.

Italian HR work is shaped less by company policy than by the national collective agreement that applies to your sector. Paid leave, hour reductions, permits, overtime bands and probation all come from that contract, and the consulente del lavoro who prepares payslips reads it closely every month.
Zoho People can hold that logic as leave types, accrual rules and holiday calendars per site, so employees request time off against the right balance and the monthly attendance summary reaches payroll without retyping.
I design and configure that setup remotely, as an independent consultant with no Zoho commission. The consulente del lavoro and your lawyer keep the final word on what the contract and the law require.
Each item starts from your collective agreement, your sites and the way your consulente del lavoro wants to receive data.
Holiday, hour reduction permits, former festivity hours and other entitlements from your CCNL set up as separate leave types, each with its own accrual, carry-forward and approval rule confirmed by your consulente.
One calendar per plant, store or branch, combining national holidays with the patron saint day of each comune, so a Milan office and a Bari warehouse do not share one wrong list.
Shift patterns for production, retail or logistics staff, with web, mobile or supported device check-in where your representatives and advisors have agreed the method of recording.
A monthly attendance and absence export in the layout your consulente del lavoro or payroll bureau accepts, reviewed against exceptions before it leaves Zoho People.
Joiner checklists covering contract signature, privacy notice acknowledgment, safety training records and equipment handover, with documents stored against the employee and visible only to HR.
Appraisal and objective cycles for office and sales staff, kept simple enough that line managers in small plants actually complete them, with templates written in Italian by your team.
Agreement, sites and payroll route

Parallel month, then live
In Italy the entitlement that matters is rarely written in your own handbook. It sits in the national collective agreement for commerce, metalworking, tourism or whichever sector applies, sometimes with a company-level supplement on top. That agreement defines paid holiday, permits for hour reductions, the hours that replaced abolished festivities, overtime treatment and much more. Two employees in the same building can follow different agreements if they work for different group companies.
In Zoho People I translate those clauses into configuration with the consulente del lavoro in the room, not from memory:
Where the configuration cannot express a clause exactly, I record it as a manual step rather than force a workaround nobody will remember. Interpreting the agreement remains the job of your consulente or labor lawyer. My role is to make the system apply their reading consistently.
Italian public holidays are mostly national, but each comune also observes the day of its patron saint. For a company with one office that is a single extra date. For a retailer with stores in many towns, a manufacturer with plants in different provinces or a logistics firm with depots across the country, it means every site needs its own calendar.
Zoho People supports holiday lists by location, and I structure them so they stay maintainable:
Retail and hospitality employers add another layer: stores that open on holidays, staff who work them and the compensation the agreement grants. I make sure the attendance record shows who worked on a holiday, so the consulente can apply the right treatment. Which dates apply to which site should be confirmed with your consulente before the calendars go live.
Payroll in Italy is produced by specialist software, run in-house or by an external consulente del lavoro who also handles contributions and statutory filings. Ask Zoho whether its payroll product is offered for Italy today; at the time of writing I would plan on payroll staying exactly where it is. Zoho People then becomes the clean source of attendance and absence data, not the payroll engine.
The handoff deserves its own design:
When this works, the consulente stops chasing paper timesheets and starts receiving a predictable file. If you are weighing the whole Zoho suite rather than one app, Zoho One in Italy explains how the apps share one employee directory.
Office staff in Italy often work partly from home under an individual smart working agreement. Zoho People can record those agreements, route day-by-day requests to managers and show who is on site, which helps with desk planning and safety duties.
Attendance tracking is where care is needed. Italian rules restrict tools that allow remote monitoring of employees, and some installations require an agreement with worker representatives or an authorization before use. Geolocation on mobile check-in, biometric terminals and detailed activity logs all raise questions your labor lawyer should answer before they are switched on. I bring those questions to the design stage, so the configuration reflects a decision already taken, not a feature someone enabled by default.
The same caution applies to data protection. GDPR expects HR data to be limited to what is needed and visible only to those who need it. In practice I set up:
Ask Zoho which data center region will hold your records and keep that answer with your privacy documentation. Policies in Italian are written or checked by native speakers on your HR team.
Beyond leave and attendance, Zoho People handles the rest of the employee file. For Italian employers I set up joiner checklists that track the signed contract, the privacy notice, mandatory safety training and equipment issued, so an inspection or audit does not start with a search through email. Appraisal cycles work well for office, sales and technical staff when the forms are short and written in plain Italian by your team.
There are situations where I would not recommend it as the HR core:
For the wider systems picture, see Zoho in Italy, the Italy hub and my ERP consultant in Italy page. Project teams that log hours against clients may also want Zoho Projects in Italy alongside it. The engagement runs in English, remotely, with written notes after each session.
Tell me about your business and current systems. I’ll suggest the most sensible first step.

Plan on payroll staying with your consulente del lavoro or payroll bureau unless Zoho confirms an Italian payroll product for your situation. Zoho People then supplies attendance, absences, joiners and leavers in an agreed monthly format. That split keeps statutory calculations with the specialist and removes the retyping behind many payroll corrections.
Yes. I set up a national list plus a local list per comune where you have staff, covering the patron saint day and any site-specific closures. Employees are linked to their work location, so leave requests and attendance follow the right calendar. Your consulente confirms which dates apply before go-live.
That is a legal question, not a configuration one. Italian rules on remote monitoring of workers can require an agreement with representatives or an authorization, and biometric data carries extra GDPR obligations. Your labor lawyer and data protection lead decide what is permitted. I then configure only the methods they approve and document the choice.
Users can choose the Italian interface. Leave type names, policy texts, notification emails and onboarding documents are written or checked by native speakers on your HR team, while the engagement runs in English with written decisions after each session. That keeps legal wording in the hands of people who read it natively.
No. I am an independent consultant, not a Zoho partner, and I take no commission or referral fee. You subscribe directly with Zoho or through a partner of your choice, and I advise on the setup. If another HR tool fits better, I say so in writing.
Every business is different. Share where you are today and what you want to fix, and I’ll tell you honestly whether and how I can help.
