How should a South African employer configure Zoho People?
A South African employer should configure Zoho People around leave types and cycles confirmed against the BCEA and any bargaining council agreement, shift attendance that still captures time during power outages, employment equity and training records held under strict POPIA access, and a clean monthly package for the payroll system that handles PAYE, UIF and SDL. Advisors confirm the rules; I design and test the setup remotely.

South African HR teams juggle several sets of rules at once. Leave follows the Basic Conditions of Employment Act and sometimes a sectoral determination or bargaining council agreement. Employment equity and skills development need their own records. And when the power goes off mid-shift, someone still has to know who was at work.
I work remotely with manufacturers, distributors, retailers, contact centers and professional firms that want leave, attendance and employee records out of spreadsheets and into Zoho People, with payroll fed cleanly every month.
Labor law interpretation stays with your HR practitioner or labor lawyer. I turn the rules they confirm into configuration and test it.
Every design starts from your conditions of employment and the payroll system finance already trusts.
Annual, sick, family responsibility, parental and other leave types built from your confirmed policy, including leave measured over a multi-year cycle rather than a calendar year.
Clocking options that keep working when the site loses power, with a documented fallback and a catch-up routine so shift hours are not guessed at month-end.
Occupational level, designation fields and training history captured in the form your advisors need, held under restricted access as sensitive personal information.
Employees grouped by agreement or sectoral rule set, so leave, shift and overtime rules apply to the right people without a separate policy for every exception.
Monthly or weekly export of hours, overtime, unpaid leave and status changes for the payroll system or bureau that runs PAYE, UIF and SDL, with a pre-run check.
Checklists for contracts, banking and tax details on joining, and for asset return, access removal and final pay inputs on leaving, owned by named people.

Leave in South Africa is not a single annual allowance. The Basic Conditions of Employment Act sets minimum entitlements for annual leave, sick leave measured across a cycle rather than a single year, family responsibility leave and parental leave, and a sectoral determination or bargaining council agreement may change the detail for your workforce. Many employers also offer more than the minimum. Your HR practitioner or labor lawyer confirms what applies; my job is to make Zoho People follow it exactly.
The design work:
Public holidays are loaded per year, including the rule your advisor confirms for holidays that fall on a Sunday. Feature options for leave accrual and cycles differ between plans, so I test them on your edition before committing to a design.
Manufacturers, distribution centers, retailers and contact centers in South Africa run shifts, and those shifts do not stop just because the grid does. Scheduled power cuts and unplanned outages create a specific HR problem: clocking devices without backup power stop recording, Wi-Fi drops, and supervisors end up rebuilding attendance from memory.
What I plan with you:
Overtime, night work and Sunday work carry different treatment under the BCEA and your agreements. Zoho People records the hours and flags the type; payroll applies the rates. The wider question of working through outages across Zoho apps is covered on the Zoho in South Africa page.
Designated employers in South Africa prepare employment equity plans and reports, and many employers also submit skills development information through their SETA. Both depend on HR data: occupational levels, demographic categories, disability status and training completed. Your employment equity manager, skills development facilitator or advisor decides what must be reported and how; I make sure the data exists, is consistent and is protected.
In Zoho People that means:
Zoho People does not file employment equity or skills reports. It provides a clean, controlled extract that your advisors use. I also record which Zoho data center hosts the account, so your information officer can assess where this sensitive data sits.
South African payroll involves PAYE, UIF and SDL, along with tax certificates and the submissions that go with them. Local payroll software and bureaus keep pace with those requirements. Whether Zoho Payroll is available for South African employers, and what it covers, is a question to put to Zoho or its partner in writing before you plan around it.
So the design question is the handoff. Each pay period, Zoho People delivers:
I agree the file layout with your payroll administrator, test it against a past period and add a pre-run checklist: unapproved timesheets, missing cost centers and employees without a pay group. Where weekly-paid and monthly-paid staff exist side by side, each gets its own cut-off.
Payroll journals then reach the ledger through the route described on the Zoho Books South Africa page. If policies or forms are issued in Afrikaans, isiZulu or another language, the engagement runs in English and native speakers on your HR team or a local partner prepare and check those versions.
Zoho People works for many South African businesses with a mix of office, shift and field staff. Look at alternatives when:
I am independent: no partnership with Zoho, no license resale, no commission. South African working hours sit within easy reach of mine, so workshops and testing run live during your day, remotely, with on-site time only by arrangement.
Client-facing timesheets are discussed under Zoho Projects for South African firms, while platform choices beyond HR sit on my ERP advisory page for South Africa and the country overview.
Tell me about your business and current systems. I’ll suggest the most sensible first step.

It can be configured to, but this is exactly where setups go wrong, so I test it with employees who joined at different points in the cycle before go-live. Your HR practitioner confirms the entitlement under the BCEA or your agreement, and I check the balances against their expected figures.
It depends on how you clock. Devices on backup power and phones with mobile data can keep recording; others cannot. I test the offline behavior of your actual setup, write a paper fallback with a named owner and set a routine to capture missed records into Zoho People the same day.
Not as a filed report. It holds occupational levels, demographic and training data in a controlled way and produces an extract that your employment equity manager or advisor uses to prepare the report. Access to that data is restricted because it is special personal information under POPIA.
No. Zoho People supplies hours, leave and employee changes. PAYE, UIF and SDL are calculated in your payroll system or by your bureau. Zoho Payroll is only worth considering once Zoho confirms in writing that it serves South African employers on your account.
