What does a Zoho Books consultant handle for an Egyptian business?
For an Egyptian business, a Zoho Books consultant arranges the ledger so VAT and deductions can be reviewed before filing, item codes and customer registration numbers are ready for electronic invoices, the books are reconciled each month against what the Tax Authority accepted, pound and dollar transactions keep their rate evidence, and bank and check activity is matched promptly. I work remotely and independently, with tax decisions left to your advisor.

Egyptian finance teams using Zoho Books, or planning to, face a particular kind of month-end pressure. The ledger has to match the VAT position, the documents accepted by the Tax Authority's electronic systems and the bank, and the pound can move enough between purchase and payment to make margins hard to read.
I help finance managers and their external accountants set Zoho Books up so those checks become routine. Sessions are remote and conducted in English. I design the structure with your accountant, test it in a trial organization with your real documents, and hand over a close routine your own team runs, with any Arabic wording on documents handled by bilingual colleagues.
Each item is about making the monthly numbers defensible, not about adding features.
Tax codes for the sale and purchase types your advisor defines, deduction categories for relevant supplier payments, and a review pack your accountant checks before figures are filed.
Item codes, units of measure, activity details and customer registration numbers stored in Zoho Books in the structure an electronic invoice is likely to need, validated before documents are finalized.
A monthly comparison between invoices in Zoho Books and documents the Tax Authority shows as accepted, rejected or cancelled, so differences are found by finance rather than by an audit.
Supplier advances, letter of credit margins, dollar bills and settlements recorded so each step keeps its rate and bank evidence, with revaluation posted on the method your accountant sets.
Statement imports or feeds, matching rules for charges, and a clear way to track checks received and issued until they clear, so the bank position in Books matches the bank.
Opening balances and open items moved from your current accounting package with reconciliation, then a documented close checklist and accountant access set up in Zoho Books.

Finance owns the routine
Egyptian companies deal with VAT on most sales and purchases, and many also have deduction obligations on certain payments to suppliers. Zoho Books calculates tax per line from the code applied and reports totals by code. Problems appear when codes are chosen inconsistently, supplier bills are entered without the tax shown on the original, or deductions are handled as unexplained differences on payments.
With your accountant, I set up:
Tax screens differ between Zoho Books country editions and the global edition, so confirm which applies to your organization and what that means for return preparation. I do not advise on tax. Treatments and filing come from your advisor, and they should confirm the current position before each design decision.
For a business covered by electronic invoicing, each document carries structured data: seller and buyer registration details, item codes, units, quantities, prices and tax amounts. Most submission failures trace back to master data, not to the connector. Zoho Books can hold this data well if it is structured before go-live rather than patched afterward.
What I set up in the item and customer records:
How documents then travel from Books to the Authority, whether through a capability in your edition, a third-party connector or custom work, is a separate decision discussed on my Zoho consultant Egypt page. Whatever route is chosen, it should be demonstrated with your own transactions before you depend on it.
Once invoices are submitted electronically, there are two records of your sales: the ledger in Zoho Books and the documents the Tax Authority holds. They should agree. In practice they can drift: an invoice is edited in Books after submission, a rejected document is never corrected, a credit note is issued in one system and not the other, or a connector fails silently for a day.
I add a monthly reconciliation to the close:
To reduce drift in the first place, I recommend storing the submission reference and status on each Books invoice in custom fields, and restricting edits to submitted documents so corrections go through credit notes. Your tax advisor decides how specific corrections should be treated. The routine simply makes sure finance discovers differences each month, not during an inspection.
Egyptian importers and traders often pay supplier advances or open letters of credit in dollars, receive goods weeks later and settle balances later still, while the pound may have moved at each step. If Zoho Books records only the final bill, the cost of goods and the currency effect become hard to separate.
I record each step on its own terms:
Management can then see open dollar exposure and margin on recent imports with currency effects separated. The multi-currency ERP page covers these controls in general terms, and pricing decisions on the sales side remain a commercial matter for your team.
Egyptian companies typically bank with more than one institution and still exchange a meaningful number of checks with customers and suppliers. In Zoho Books I set up each bank account with a feed where one is available for your bank and edition, and otherwise a scheduled statement upload. Matching rules handle recurring charges and transfers. Checks received and issued are tracked through a clearing account or a status field until the bank confirms them, so dated checks do not inflate the reported cash position.
Most migrations start from a local desktop ledger or spreadsheets. I move opening balances and open items at a period end, reconcile them to the old trial balance and aged reports, and leave history in an archive. My ERP data migration service explains the checks. Your external accountant receives an accountant role rather than a shared password.
Zoho Books suits service firms, traders and exporters with moderate volumes. It is less suitable for manufacturers needing production costing, contractors running progress billing at scale, or very high document volumes through an unproven connector. In those cases a broader ERP may be better. See the Zoho Books overview, my ERP consulting work in Egypt and the Egypt overview.
Tell me about your business and current systems. I’ll suggest the most sensible first step.

Because the two can drift through edits after submission, uncorrected rejections or connector failures. A monthly match by document number, date and total, with an exceptions log and named owners, lets finance correct differences promptly. Your tax advisor decides how particular corrections are treated.
Usually in a dedicated field on each item, mapped to the codes your company has registered, with units of measure agreed alongside. I add a rule so items without a code cannot be invoiced, which prevents many rejections before they happen.
It can, if each step of an import is recorded separately: advances, letter of credit margins, bills at the policy rate and revaluation at month end. Reports then separate currency effects from trading margin. Your accountant sets the rate policy; the ledger applies it consistently.
No. Your accountant or tax advisor files returns and decides treatments. I configure codes, reports and exception lists so they can review figures quickly, and I add a period lock after sign-off so nothing changes underneath a return that has already been agreed.
Every business is different. Share where you are today and what you want to fix, and I’ll tell you honestly whether and how I can help.
