How does Zoho fit a company in Germany?
Zoho fits German service firms, sales offices and smaller traders that put CRM, quoting and invoicing first. A Zoho consultant in Germany checks what the German edition of Zoho Books covers, how postings reach a DATEV-based Steuerberater, how structured e-invoices are received and issued, what GoBD-style archiving needs around Zoho, and what the works council should see. I do this remotely and independently.

In many German companies the ledger effectively lives with the Steuerberater. The business sends receipts and invoices, the advisor books them in DATEV and returns the monthly figures. When such a company adopts Zoho, the real design question is where Zoho's job ends and the advisor's begins.
I answer that question first, with the advisor in the room. Some companies use Zoho CRM and Zoho Books for selling and invoicing and hand everything else over; others want Zoho Books as the full ledger. Both can work if the handoff, the archive and the e-invoice intake are designed on purpose.
Zoho does not pay me, and all of my work for German clients happens remotely, by video and in shared documents.

I agree with your Steuerberater whether they receive a DATEV-format export, document access or both, check what your Zoho Books edition offers for this, and test a full month before relying on it.

The handoff to the tax advisor decides most of the finance design in a German Zoho project. There are three common patterns, and I agree the right one with your Steuerberater before configuring anything:
Zoho has offered a German edition of Zoho Books with features aimed at this exchange, but what your organization's edition includes should be checked, not assumed. The test that matters is simple: we export a real month, your advisor imports it, and we compare totals, accounts, tax keys and document references. Problems found here, such as account mapping or missing receipt links, are cheap to fix before go-live and expensive after.
I record the agreed pattern, the export rhythm and who corrects errors in a short handoff document both sides sign. The Zoho Books page covers the product more broadly.
German bookkeeping principles, usually referred to as GoBD, expect records that are complete, traceable and protected against unnoticed change, plus an archive and a written description of the procedure. Responsibility for meeting them lies with the company, not with the software vendor, so I look at the whole process around Zoho rather than at a feature checkbox.
In practice that means agreeing several things with your advisor: which documents Zoho stores and which go to a separate archive, how long each type is kept, how edits and cancellations are traced, who can delete what, and how an auditor would be given access. I then draft the procedure description in English for your advisor or a German-speaking colleague to finalize.
E-invoicing adds a second layer. Germany is moving business-to-business invoicing toward structured formats such as XRechnung and ZUGFeRD, and companies need to be ready to receive them. A PDF reader is not enough for a pure XML file. I check whether Zoho can read these formats for your edition or whether an intake service converts them, and how outgoing invoices will be produced once your company has to issue them. Your Steuerberater confirms which obligations apply today.
Zoho collects a lot of activity data by default: calls logged in CRM, emails tracked, tickets handled, logins recorded. In a German company with a works council, tools that could be used to monitor behavior or performance are normally discussed with it before rollout. I am not an employment lawyer, but I can prepare accurate material: a list of roles, what each can see, which activity data Zoho records, which reports exist and which ones you deliberately switch off.
The same inventory supports GDPR. Together with your data protection contact I settle which personal data each app holds, how long leads and contacts stay, how deletion requests are handled and who may export data. Zoho provides some tooling for these tasks; the documented decisions remain yours.
Data location is part of the conversation. Zoho runs a European data center region, and the region is set when your organization is created. A German team joining a parent group's existing Zoho account in another region should raise this early, because it is not a quick change later. Payroll stays with your advisor or a payroll provider; Zoho People can cover leave and attendance if the works council has agreed how attendance data will be used.
When Zoho arrives through the German sales office of a foreign group that needs a CRM in weeks rather than months, speed is useful, but the setup can then grow without a design: extra modules, custom fields nobody owns, and invoicing bolted on later. I bring structure by writing the process map and data model first, then deciding what belongs in Zoho CRM, what in Books and what stays with the advisor.
If you work with a German Zoho implementation firm, I act as your reviewer: checking their estimate against requirements, reading Deluge scripts for maintainability, and running acceptance tests. Typical migration sources are a desktop invoicing or accounting package, an older CRM and spreadsheets of open quotes. I agree with the advisor which balances and open items move, clean customer data first, and make sure the old system can still be opened for lookups during the retention period your advisor names. Zoho is a reasonable choice for German service companies, agencies, distributors with simple stock and sales subsidiaries. I would advise against it as the main ERP when:
