How should an Indian manufacturer set up ERPNext Manufacturing?

Design the BOMs around where each stage is done, because much Indian production moves between your plant and job workers. Then configure subcontracting so material sent out is tracked and supported by the right documents, set inward and in-process inspections, agree valuation with your chartered accountant and plan shop-floor entry for supervisors. I lead that design as an independent ERPNext manufacturing consultant.

Many Indian manufacturing owners have already seen an ERPNext demo. What a demo rarely shows is how a part that is turned in your plant, heat treated by one vendor, plated by another and assembled back at your plant should be modeled so that stock, job work balances and costs stay correct.

That is the focus of this page: BOM and routing design for stage-wise production, subcontracting in ERPNext alongside the statutory paperwork, inspections that satisfy demanding OEM and export buyers, shop-floor reporting that supervisors will actually do, and stock values your auditor and bank can rely on.

I work remotely with owners, plant heads and finance teams across India during IST working hours, using video walkthroughs of the shop floor and sample route cards. I usually design the setup and test plan, and either configure it myself or guide the implementer you have chosen.

Stage-Wise Item Design

Separate item codes for each meaningful stage, such as machined, heat treated and plated, so every handover between your plant and a job worker is a clear stock movement with its own BOM.

Subcontracting Setup

Subcontracting orders, supplier warehouses per job worker and receipts that consume the material sent, with processing charges and allowed scrap agreed before configuration.

Production Planning

Production plans that explode multi-level BOMs, separate in-house and outsourced stages, and raise purchase and material requests, so planners stop rebuilding requirements in Excel each week.

Designing BOMs when stages move between plant and job workers

A typical engineering part in India might be forged by one vendor, machined in-house, heat treated and plated by outside processors, then assembled and packed in your plant. ERPNext subcontracting works at the item level: you send material for a specific item to be made and receive that item back. So the item and BOM structure must mirror the stages.

The pattern I normally use:

  • One item per stage that changes hands: for example a raw forging, a machined part, a heat treated part and a finished plated part, each with its own code.
  • A BOM per stage: the heat treated part's BOM consumes the machined part, and is marked for subcontracting; the machined part's BOM consumes the forging, with in-house operations.
  • Allowed process loss or scrap on stages where weight or count changes, such as machining or grinding.
  • Naming rules that let stores staff recognize the stage at a glance.

This creates more item codes than many owners expect, but it is what makes stock and job worker balances believable. A production plan can then explode the multi-level structure and, in recent releases, mark each sub-assembly as made in-house or subcontracted; confirm how your version handles this. Subcontracting in ERPNext and the statutory paperwork

Indian GST rules allow material to go to job workers under specific conditions, and the commercial and statutory sides need to agree with each other. ERPNext's subcontracting flow handles the commercial side: a subcontracting order to the job worker, material transferred to a supplier warehouse that represents their premises, and a receipt that brings the processed item back and consumes what was sent.

The statutory documents, such as delivery challans for job work and e-way bills where movement requires them, are typically produced through the India compliance app layered on ERPNext rather than core ERPNext itself. Check carefully whether your installed version generates them from the stock transfer you will actually use, and how returns and partial receipts appear. Points I test with your stores and accounts teams:

  • Material sent, received back, consumed and returned unprocessed, each with the right document.
  • Partial receipts over several weeks against one challan.
  • Scrap retained by the job worker or returned to you.
  • Balances at each job worker reviewed monthly and tied to what periodic job work reporting needs; your CA confirms the obligations.

Inspections, heat numbers and rejection handling

OEM customers, export buyers and certification auditors increasingly expect Indian suppliers to show inspection evidence and trace a part back to its raw material. In many plants, inspection reports are filed on paper while stock moves in Tally or Excel, so connecting the two during a complaint takes days.

The ERPNext setup I usually configure:

  • Inward inspection on castings, forgings, bar stock and bought-out parts, using templates with the dimensions and properties your quality team checks, and stock held in a quarantine warehouse until accepted.
  • Heat or batch numbers carried from the supplier's test certificate, attached to the batch, and printed on route cards.
  • In-process checks after critical operations, linked to job cards, especially before material leaves for a job worker and when it returns.
  • Final inspection before dispatch, with batches recorded on the delivery note.
  • Rejection and rework: a clear route for rejected material, whether returned to the supplier, sent for rework or scrapped, so it is not silently absorbed into stock.

ERPNext does not replace a full quality system for corrective action tracking, gauge calibration or validated pharmaceutical batch records. Where those apply, I plan the tool that sits alongside. Capturing this precisely is part of gap analysis.

Shop-floor reporting, valuation and stock statements for banks

In most Indian plants, the realistic data source is the shift supervisor, not every operator. I design job cards and material transfers around a supervisor completing them at shift end from a production register or tablet, with barcodes on route cards to pick the right work order. ERPNext includes Hindi and several other translations, but coverage of manufacturing screens varies, so test the language your supervisors prefer before relying on it.

Valuation then needs agreement with your chartered accountant:

  • Moving average or FIFO, and consistency with how stock has been valued for statutory audit.
  • Workstation hour rates covering machine, power and labor, including contract labor where it is significant.
  • How rejections, scrap sold to dealers and process loss are valued.
  • How work in progress at your plant and at job workers is shown at month end.

Many manufacturers also submit periodic stock statements to their bank for working capital limits. If those can be produced from ERPNext, with raw material, work in progress, finished goods and stock at job workers shown separately, a monthly spreadsheet exercise disappears. I design the warehouses and reports with that in mind. Where finance is moving to ERPNext as well, the ERPNext accounting in India design runs in the same workshops.

Choosing support, and when ERPNext Manufacturing is not enough

Frappe, the company behind ERPNext, is based in India, and the Indian ecosystem of implementers and freelance developers is large. Manufacturers usually choose between Frappe Cloud, self-hosting on an Indian cloud provider with their own IT person, or hosting and support from an implementer. The decision rests on who will own upgrades, the compliance app, backups and urgent fixes during production hours. I help you write that into a support agreement and keep customizations documented so you are not locked to one firm.

ERPNext Manufacturing is not the right answer, or needs specialist tools beside it, when:

  • High-volume automotive suppliers must work to OEM delivery schedules, portals and advance shipping notices with finite scheduling across many machines.
  • Pharmaceutical or other regulated plants need validated electronic batch records.
  • Chemical or process plants depend on formulas with potency, assay or co-products.
  • Machine monitoring and OEE need real-time data capture beyond job cards.

Questions About ERPNext Manufacturing Consultant India

Yes, if items and BOMs are designed stage by stage. Each stage that leaves your plant becomes its own item with a subcontracting BOM, and each job worker has a supplier warehouse. That way you can see exactly how much material sits with each vendor at each stage, and costs build up correctly.

Core ERPNext handles subcontracting orders, transfers and receipts. Statutory documents such as job work challans and e-way bills are usually produced by the India compliance app installed alongside it. Features change between versions, so I verify with your installed setup that the documents come from the transactions you will actually use.

Usually, if the routine is designed for them. I keep job cards and material entries simple, use barcodes on route cards, and schedule entry at shift end from a register or tablet. Training is remote, in short role-based sessions, with recorded videos for night shift supervisors.

It can, if warehouses and reports are designed for it. Raw material, work in progress, finished goods and stock at job workers should be separable, valued consistently with your books. I set up the warehouses and a report that matches your bank's format as closely as possible, then reconcile it with your accounts.
