How does a Zoho CRM consultant help a New Zealand business?

In New Zealand, a Zoho CRM consultant sets the system up around how local firms win work: commercial trades pricing tenders for main contractors, and service businesses selling retainers to clients in New Zealand and across the Tasman. Tracking tenders and price requests for commercial trades

A commercial trades business in New Zealand might be pricing several jobs at once for different main contractors, each with its own drawings, addenda and closing date. The estimator knows the status of each one; the owner often does not. When the estimator is away, nobody can say which tenders are due or which builder asked for a revised price.

In Zoho CRM I set up a tender register that sits alongside the normal pipeline:

  • Each price request is a deal linked to the main contractor and, where useful, to the end client or project name, so you can see that several builders are pricing the same project.
  • Closing dates and owners drive reminders, and documents stay attached rather than buried in an inbox.
  • Outcomes are recorded honestly: won, lost on price, lost on schedule, project did not proceed, or no response.
  • Builder relationships are reported on, showing how much you price for each contractor and how often they award you work.

That last view is often the most useful. It shows which contractors use you as a price check and which genuinely award work, and it changes where estimators spend their time. Where a field or job management app already runs the delivery side, I connect the won deal to it rather than rebuilding jobs in the CRM.

Selling services to Australian clients from New Zealand

New Zealand consultancies, software houses and specialist service firms often win a meaningful part of their work in Australia. That brings small but persistent CRM problems: prices quoted in AUD, contracts under a different company's name, clients in several Australian time zones, and an account manager in Christchurch who needs to know that a Perth client starts work hours later.

The design choices I work through with you:

  • Currency on deals and quotes, with AUD price books separate from NZD ones so nobody converts by hand.
  • Identifiers: the NZBN for New Zealand businesses and the ABN for Australian ones, stored in clearly named fields and used to catch duplicates.
  • Which entity sells, if you have an Australian company as well, so the deal flows to the right set of books.
  • Ownership and coverage by region, with time-zone-aware reminders for follow-ups and renewals.

Retainers and managed services also need renewal tracking. I record contract terms, notice periods and review dates on the account so renewals are discussed before the client starts looking elsewhere. Privacy, consent and commercial email in the CRM

New Zealand's privacy law governs how personal information about the people in your CRM is collected, used and kept, and the rules on unsolicited commercial electronic messages affect newsletters, promotional emails and texts. How those rules apply to your business is a question for your advisor. I make sure Zoho CRM supports the answer.

What I put in place:

  • Consent and source fields on contacts, set when the record is created, showing how you obtained the address and what the person agreed to receive.
  • An opt-out status that every sending tool respects, whether the message goes from Zoho CRM, a campaign tool or an SMS integration.
  • Transactional and marketing messages kept apart, so tender acknowledgements and invoice reminders continue for someone who declined promotions.
  • Access limits on personal mobile numbers and notes, especially for sole traders and homeowners who appear as contacts.
  • Clean-up rules for old inquiries that never became clients.

Where Australian contacts are also on your lists, your advisor may want rules that satisfy both countries. I build one consent model that can carry both rather than two parallel ones. Zoho account region and data location are better settled at the platform level, before the CRM is configured.

Handing won work to Xero or Zoho Books

Most New Zealand businesses I speak to keep their books in Xero, and their accountant likes it there. Others have moved, or plan to move, to Zoho Books. Zoho CRM can feed either, but the boundary has to be clear, otherwise the same client appears twice and nobody trusts the totals.

The handoff I usually design:

  • Zoho CRM holds the relationship, the tender or proposal, pricing approvals and the moment the client says yes.
  • The accounting tool holds the tax invoice, GST, payments, credit notes and debtor follow-up.
  • Customers are created in one place and synced in one direction, matched on NZBN or ABN where available.
  • Progress claims and retainers are agreed upfront, because a contractor invoicing monthly against a contract needs different links from a firm billing a fixed monthly fee.
  • Payment status returns to the CRM, so a director sees overdue balances before pricing for the same builder again.

New Zealand firms better served without Zoho CRM

Zoho CRM is a sensible choice for many New Zealand firms, but I would point some elsewhere:

  • Residential trades living in their job app. If quoting, scheduling and invoicing already happen in a job management tool that the team likes, adding a CRM may just create a second place to update.
  • Distributors that need stock-aware quoting. If every quote depends on live stock and landed cost, an ERP that quotes from the same data, such as Odoo in New Zealand, can be simpler.
  • Marketing-led firms whose growth comes from content and automated nurture may lean toward HubSpot. See Zoho CRM vs HubSpot.
  • Owner-operators with a handful of clients, where a shared calendar and the accounting tool's customer list may be enough.
