Why would a UAE business hire a Zoho Inventory consultant?

In the Emirates, stock often sits in a free zone warehouse, a mainland store and a marketplace fulfillment center at the same time, and orders arrive from noon, Amazon, a web shop and salesmen. A Zoho Inventory consultant designs those locations, the transfers between them, cash on delivery reconciliation, expiry tracking and landed cost. I do it remotely and independently, and I say when the operation needs more than Zoho Inventory.

Ask a Dubai or Sharjah trading company where its stock is and the honest answer is often three places: bonded or free zone storage for goods that may be re-exported, a mainland warehouse for local customers, and units sent to a marketplace fulfillment center. Each place has different rules for moving goods out, and the stock report rarely reflects all of them.

Zoho Inventory sits naturally beside Zoho Books and Zoho CRM for traders and online sellers. Getting value from it depends on modeling those locations properly and on recording every movement between them as a transfer, not a quick adjustment.

Moving goods between free zones, mainland and re-export

For a UAE trader, a movement from a free zone store to a mainland warehouse is not just a stock transfer. Depending on the zone and its customs status, goods leaving it for the local market may need a customs declaration and duty, and the VAT position of supplies made inside designated zones follows its own rules. Those decisions belong to your customs broker and tax agent. The stock system has to record the movement in a way they can rely on.

How I set this up in Zoho Inventory:

  • One location per site and status: a free zone store and a mainland store are never merged into one warehouse, even when they share a manager.
  • Transfer orders with references: each movement out of a zone carries the declaration or exit document number, so an auditor can match quantities.
  • Re-export flow: goods sold to buyers abroad straight from the zone are invoiced and shipped from that location, keeping them separate from local sales.
  • Branches in other emirates: a store in Abu Dhabi or the northern emirates is its own location, so local sales and stock by site are visible.

noon, Amazon and cash on delivery

Online sellers in the Emirates mostly trade through noon and Amazon, alongside their own Shopify or WooCommerce store and Instagram or WhatsApp orders taken by hand. Zoho Inventory offers integrations with some marketplaces and store platforms, and the regional coverage varies, so I check what works today for your accounts before designing around it. Where a native link is missing, orders can come in through a connector, Zoho Flow or the API.

Two local habits need deliberate design:

  • Fulfillment by the marketplace: stock sent to a marketplace warehouse is no longer on your shelf. I keep it in its own location so reorders and transfers are based on what each place really holds.
  • Cash on delivery: many UAE shoppers still pay the driver. The courier collects the cash and remits it later, net of charges. Without a routine, delivered orders, failed attempts and returns get mixed up, and cash sits unmatched.

I set a weekly remittance check: each courier statement matched to shipped orders, failed deliveries returned to stock, fees posted, and exceptions listed for follow-up. Expiry dates, batches and Arabic labels

A large share of what UAE traders import is dated: foodstuffs, beverages, cosmetics, personal care and healthcare products. Retailers and authorities expect expired goods to be kept off the shelf, and product registration and labeling rules, including Arabic labeling for many goods, apply before sale. Your regulatory consultant confirms those obligations; Zoho Inventory supports the discipline behind them.

What I configure for dated stock:

  1. Batch tracking on items with a shelf life, with manufacture and expiry dates captured at receiving from the supplier's documents.
  2. Earliest expiry first as the picking rule your storekeepers actually follow, backed by a short-dated stock report reviewed each week.
  3. A quarantine location for consignments waiting for inspection, relabeling or approval, so they cannot be sold by accident.
  4. Bilingual item data: Arabic descriptions held on the item for documents that need them, while English remains the working name for the team.

Serial numbers come in for electronics, mobile accessories and equipment sold with a warranty, where they help with returns and claims. I apply tracking selectively, because each tracked item adds steps at every movement. For dated goods in particular, the food and beverage page goes further.

Working out landed cost in dirhams

Imports into the UAE usually carry several charges beyond the supplier invoice: sea or air freight, insurance, customs duty, clearing agent fees, delivery order and port charges, and local transport to the warehouse. Suppliers often invoice in US dollars, euros or yuan, while some charges arrive in dirhams weeks later. If those charges never reach item cost, margins look better than they are, especially on low-value, high-volume goods.

Zoho Inventory and Zoho Books record purchase cost in foreign currency well. How fully they can spread freight and duty over received items has changed over time and is more limited than in mid-market ERP. My approach:

  • Agree with your accountant which charges are capitalized into stock and on what basis: value, quantity or weight.
  • Test the current landed cost features on a real past shipment.
  • If they do not cover your case, run a documented cost adjustment per shipment, approved by finance, rather than ignoring the charges.
  • Keep import VAT out of stock cost where it is recoverable, as your tax agent advises.

UAE operations that outgrow Zoho Inventory

Zoho Inventory suits most UAE traders, distributors and online sellers. It is the wrong tool, or only part of the answer, in these cases:

  • You blend, pack or assemble at scale: repacking spices, filling cosmetics or assembling panels needs bills of materials, yields and production orders. Composite items cover simple kits only. The UAE manufacturing ERP page and Odoo Inventory in the UAE show other routes.
  • A large bonded or logistics operation: warehouses holding goods for many owners, with bin-level putaway, scanning and storage billing, need a WMS.
  • Group structures across zones: separate free zone and mainland companies trading stock with each other need intercompany design that a broader ERP handles more cleanly.
  • Heavy van sales: large fleets selling from vehicles with route settlement may need a dedicated van sales app connected to Zoho.
