Zoho can carry a lot of that work at a reasonable cost, but only when the case stages, reminders and records are designed around how the firm actually advises its clients. I do that design as an independent, remote consultant, and I am equally clear about the jobs Zoho should not take on.

Why advice-led firms in Leeds look at Zoho

Leeds has a long history as a financial center, with building societies, banks and insurers in and around the city, and a wide circle of smaller firms that grew up alongside them. Independent mortgage and protection brokers, financial planners, insurance brokers and accountancy practices operate from the city center, the suburbs and the market towns within the Leeds district. Many began with an email inbox, a spreadsheet and whatever came bundled with their network or software provider.

As these firms grow, the pressure points are similar. Cases stall because nobody can see which document is missing. Reviews with existing clients slip. Partners cannot tell how much work is in progress or where new business is coming from. A CRM priced per user, with forms, e-signature and reporting available in the same family, is an obvious candidate.

Zoho can fit that need well, but it is a general platform. It does not know how your firm advises clients, and it should not try to replace the specialist systems your regulator, network or lenders expect you to use. My role is to draw that line clearly. Mortgage and protection brokers: case stages and document chasing

A mortgage case moves through a recognizable path: inquiry, fact-find, research, recommendation, application, valuation, offer and completion, often with a protection conversation running alongside. Each stage depends on documents from the client, decisions from a lender and actions from a solicitor. The common failure is not a lack of software but a lack of visibility, with each adviser tracking cases in their own way.

In Zoho CRM I design the case as a record with clear stages, required fields and checks before it can move forward. Document requests are generated from a checklist, and reminders go to the client and the administrator until each item arrives. Product end dates feed future review tasks, so a remortgage conversation starts in good time rather than when the client has already gone elsewhere.

Sourcing tools, lender portals and any platform your network requires stay where they are. Zoho holds the relationship and the progress, and links out to those systems where an integration is practical. What records of advice must be kept, and for how long, is a question for your compliance support or network; I make sure the design can hold whatever they specify. Accountancy practices: onboarding and recurring work

Accountancy and bookkeeping practices are well represented in Leeds, from city center firms to small practices in Horsforth, Morley or Wetherby. Their growth problem is often onboarding. A new client needs a proposal, a signed engagement letter, identity and anti-money-laundering checks, authority to act with the tax authority and a set of documents, and each step tends to be chased by hand.

I design a route that connects Zoho Forms for intake, Zoho Sign for engagement letters and Zoho CRM for the client record and checklist, so a new client cannot be marked active until the required steps are complete. Recurring work, such as year-end accounts, VAT returns or payroll, then becomes a set of dated jobs with owners, and partners can see what is due across the practice.

There is an honest question here. Practice management software exists for exactly this work, often with tax filing and time recording built in. For some practices that is the better choice, and Zoho is used only for marketing and new business. For others, particularly those offering advisory services alongside compliance work, a Zoho design is more flexible. I lay out both options against your real workload before recommending either. Health technology sellers: modeling a long public sector sale

The city's health sector draws many technology and service companies to Leeds, and selling to NHS bodies rarely follows the simple funnel that a default CRM pipeline assumes. A deal may involve clinical champions, digital and information governance teams, procurement, finance and an executive sponsor, each with their own concerns. There may be a pilot, an evaluation, a business case and a procurement route through a framework before anything is signed.

In Zoho CRM I model those elements explicitly. Each opportunity lists its stakeholders and their stance, records which approvals are complete, and tracks pilot milestones and evaluation results as structured fields rather than buried notes. Stages are defined by evidence, such as a signed pilot agreement or a completed governance review, so the forecast reflects reality.

Account plans matter too, because one trust or integrated care system can lead to others. I design account hierarchies and relationship mapping so that work done with one organization is visible when approaching the next.
