Is Zoho One a good choice for an Australian business?
Zoho One can be a good choice for an Australian business when several teams will use it, not just sales. The key questions are which apps to adopt first, whether Xero keeps the ledger while Zoho runs operations, how casual and seasonal staff affect licensing, how sign-in and admin rights are controlled, and which payroll and job tools stay outside. I answer those independently before you commit.

Australian businesses usually meet Zoho One while looking for something narrower: a better CRM, a job management tool for the field team, or a helpdesk. Then they notice that the bundle includes all of those plus accounting, inventory, HR and analytics, and the question becomes whether to buy the lot.
Answering it properly is the work I do, remotely, with Australian owners, operations managers and finance leads. That means deciding which apps a trades business, a wholesaler or a professional firm should actually switch on, how Zoho One lives beside Xero or MYOB, how a casual workforce affects licensing, and how access is controlled across states.
GST codes, the BAS, payroll links and full ledger moves belong to a different page of mine about Zoho in Australia, linked further down.
Australian Zoho One projects tend to begin in the field or in sales, with finance joining later or staying put. My work reflects that order.
A plain comparison of Zoho One against individual Zoho apps for your real user list, so you know whether the bundle earns its place before anyone signs a subscription.
Quotes in Zoho CRM turning into scheduled jobs, site checklists and completion photos on mobile, then into invoices, for trades, installers and service contractors working across large areas.
Clear ownership of contacts, items and invoices when Xero stays as the ledger and Zoho One runs sales, stock or jobs, so the two systems never edit the same record.
Single sign-on, multi-factor authentication and restricted administrator roles across the bundle, designed to support the access controls your IT provider is working toward.
A count of casual, part-time and seasonal workers by the apps they genuinely need, so licensing options can be compared against how your workforce actually operates.
Zoho Analytics dashboards combining sales, jobs and stock by state and branch, so owners see the whole business without stitching together reports from several apps.

The opening wave depends heavily on the type of business, and in Australia three profiles dominate the Zoho One conversations I have.
Trades and field service operators start where the work happens. Zoho CRM holds inquiries and quotes, and a job layer built in Zoho Desk, Zoho Projects or a Zoho Creator app schedules technicians, captures site checklists and photos, and marks jobs complete. Mobile use in areas with weak coverage must be tested before go-live, not assumed.
Wholesalers and importers start with CRM and Zoho Inventory, because stock spread across states and long overseas lead times make availability the question sales reps ask most.
Professional services firms start with CRM and Zoho Projects, linking proposals to budgets and timesheets.
In all three, Zoho People, the marketing apps and Zoho Mail usually wait. Most Australian SMEs run Microsoft 365 or Google Workspace and have no reason to move email. Finance is the most variable piece: some businesses move the ledger in a later wave, many keep Xero or MYOB indefinitely. That choice is important enough to plan explicitly, which the next section covers.
A large share of Australian Zoho One accounts sit beside Xero. Accountants and bookkeepers know Xero well, and many owners are reluctant to move a ledger that works. Zoho One includes Zoho Books, but paying for an app you do not use is a smaller problem than forcing a finance change nobody wants.
When Xero stays, the design work is about ownership:
I also set a review point. After a few months of stable operation, the business decides whether moving the ledger into the bundle would remove enough friction to justify it. Sometimes it does; often keeping Xero is the right call. If you are weighing a full switch, read Zoho Books vs Xero first; broader ledger questions sit on my Zoho consultant Australia page.
Australian workforces often include a large share of casual, part-time and seasonal employees, especially in trades, hospitality, retail and logistics. Zoho One licensing has historically come in an all-staff form and a selected-users form, and because Zoho adjusts the terms, the option open to you can swing the business case.
I list each worker group with the app access it genuinely needs. A casual laborer who only appears on a timesheet may need nothing; a casual technician who completes jobs on a phone does. You then compare the options with Zoho using your own counts.
Access control is the other half. Many Australian businesses, and the larger customers and government agencies they supply, now ask about cyber security maturity, often framed around the Essential Eight. Its controls on multi-factor authentication and restricting administrative privileges apply to cloud apps as much as to laptops. For Zoho One I set up:
Your IT provider or assessor confirms how this fits your target maturity; I make sure the Zoho side supports it.
Being clear about what Zoho One will not replace is part of a sound plan. In Australian businesses these systems usually stay:
Each boundary gets a named integration or a documented manual handoff. I use native connectors where they are reliable, and integration design where they are not.
One bundle-specific hosting check also matters. Every app in your Zoho One account sits in the region the organization was created in. Before planning a later wave, confirm that each app and feature you intend to use is offered in that region, so the roadmap does not depend on something unavailable to your account.
Zoho One works well for many Australian SMEs, but I regularly advise against it when:
An ERP evaluation puts each of these to the test before money is spent. For other platforms, my ERP consultant Australia page continues the comparison, the Australia overview covers remote delivery across states with and without daylight saving, and Zoho One consulting outlines the method I use everywhere.
Tell me about your business and current systems. I’ll suggest the most sensible first step.

Yes, and many Australian businesses do. Zoho One runs CRM, jobs or stock while Xero stays as the ledger. The design must give each system clear ownership of contacts, items and invoices so they never edit the same record. I usually set a review point to decide later whether moving the ledger is worthwhile.
Only if they will open a business app, and even then the answer turns on which Zoho One licensing option is available to you at the time. I count casual, part-time and seasonal workers by real app need so you can compare the bundle with individual subscriptions using your own data.
Usually Zoho CRM for inquiries and quotes, plus a job layer in Zoho Desk, Zoho Projects or a Creator app for scheduling, site checklists and completion. Finance and HR apps come later. I test mobile use on site, including areas with patchy coverage, before go-live.
Zoho One supports single sign-on, multi-factor authentication and role-based administration, which relate to several Essential Eight controls. Your IT provider or assessor decides how they count toward your maturity target. I configure the Zoho side and document it for them.
Every business is different. Share where you are today and what you want to fix, and I’ll tell you honestly whether and how I can help.
