Is Zoho Inventory suitable for a business in France?

Zoho Inventory suits French distributors, importers and online sellers that need stock by depot, lot or serial tracking, purchase and sales orders and marketplace links, without production planning. Stock, depots and the year-end count for the expert-comptable

In a French company the stock figure ends up in the annual accounts, and the expert-comptable needs to trust it. That shapes the Zoho Inventory design more than any feature list. Before configuring anything, I agree with finance how stock will be valued, which costs enter that value, and how the year-end count, the inventaire, will be run and documented. Your accountant confirms the valuation method that applies to you.

Warehouses in Zoho Inventory then follow physical reality:

  • One warehouse per depot or per legal stock location, including stock held at a logistics provider.
  • Separate locations for returns and damaged goods, so they do not inflate sellable stock.
  • Transfer orders for moves between depots, with goods in transit visible rather than vanishing for a few days.

For the count itself I prepare a procedure: freeze or control movements, print or export count sheets per depot, record counts, review variances above an agreed tolerance and post adjustments with a reason code. The variance report goes to the accountant with the valuation. A rehearsal count on one depot before the real one avoids surprises.

Lots, best-before dates and serial numbers

Tracking requirements depend on what you sell. A French food or cosmetics distributor may need batch numbers with use-by or best-before dates, while a seller of electronics or equipment cares about serial numbers for warranty and after-sales service.

In Zoho Inventory I decide item by item:

  • Batch tracking for goods where a recall or quality issue would need to trace which customers received which lot. Expiry dates are captured at receipt.
  • Picking rules so the oldest or shortest-dated stock goes first, and staff can see lots nearing expiry.
  • Serial tracking for items where each unit has its own history, linked to the sales order and customer.
  • No tracking for low-value goods where the extra scanning effort brings nothing.

Sector rules on traceability, labeling and recalls in France are specific to each product category, and I do not interpret them. Your quality manager or advisor states what must be recorded; I make sure the system captures it at the right step and that a trace report can be produced quickly.

Returns for repair bring the support team in as well. Linking serial numbers to tickets in Zoho Desk for France lets agents see purchase date and customer without asking.

Imports from outside the EU and landed cost

Many French distributors buy from Asia, the United States or the United Kingdom. Goods arrive through a freight forwarder and a customs broker, and the real cost of an item includes freight, insurance, customs duties and handling fees that arrive on separate invoices, sometimes weeks after the goods.

Landed cost design in Zoho Inventory covers:

  • Which charges are capitalized into stock value and which are expensed. Your expert-comptable decides.
  • How charges are spread across items on a shipment, by value, quantity or weight.
  • Timing: what happens when the broker's invoice arrives after some of the goods are already sold.
  • Import VAT, which is a tax matter rather than a cost of stock in most cases, and is handled in Zoho Books or your ledger as your advisor directs.

Zoho Inventory's landed cost options are lighter than a mid-market ERP, so a real past shipment is replayed through them before go-live. If your import model involves several currencies, forward contracts or containers split across customers, the limits show quickly. Purchase prices in dollars or other currencies and the exchange difference on payment are agreed with finance at the same time. The multi-currency page explains the wider issue.

Marketplaces, carriers and logistics providers in France

French online sellers typically combine their own webshop with one or more marketplaces, and ship through a mix of parcel carriers and relay point networks. Zoho Inventory can sync stock and orders with some channels and generate shipping labels with some carriers, but the list of supported connections changes and differs by region.

Before designing around a channel, I check with Zoho or the connector provider:

  • Whether the webshop platform and each marketplace you use can sync stock levels and orders, and in which direction.
  • Whether your French carriers and relay point services are available for label creation and tracking, or whether a shipping aggregator is needed.
  • How returns arriving from a marketplace are received back into stock.

Where a logistics provider runs the warehouse, the provider's system is the physical stock record. I set up the flow of orders, receipts and stock snapshots between the two systems, and a regular reconciliation so differences are found early rather than at year end.

The quality of the item master decides how well all of this works. One SKU per sellable item, consistent units and clean barcodes on every listing prevent most channel errors. Integration patterns are covered on the system integration consultant page for France.

VAT lines, e-invoices and when a French business needs an ERP

Zoho Inventory handles orders, stock and shipments. French VAT on invoices, required invoice mentions and the structured e-invoicing reform are finance matters, handled in Zoho Books for France or your existing ledger. I design the hand-over so invoices raised from sales orders carry the right tax codes, and leave the tax treatment itself to your accountant. Whether invoices reach an approved e-invoicing platform directly or through a separate service is confirmed with Zoho or the integrator, not assumed.

Charges that appear on French invoices for some product categories, such as environmental contributions on certain goods, also need a decision: separate line items, item-level settings or a price component. Your advisor tells you what applies.

Zoho Inventory stops being enough when:

  • You manufacture or assemble beyond simple kits and need routings and capacity planning.
  • Warehouse volume calls for directed putaway, wave picking or heavy scanning workflows.
  • Several French or EU entities share stock and need intercompany flows.
  • Costing must follow a method or depth the app does not offer.
